What is a project planner?

A project planner organizes and tracks resources for a project, typically in the construction industry. As a project planner, you research vendors, develop budgets, and create plans with the developers and clients. During production, you monitor contractors and other building professionals to ensure that the project moves according to specifications and follows the budget and scheduling guidelines. Project planners may also handle regulatory issues regarding construction, such as environmental impact reports, land entitlement, and feasibility reports. This position works in conjunction with a project manager, though one person may hold the two roles.

What are the key skills and qualifications needed to thrive as a project planner, and why are they important?

To thrive as a Project Planner, you need strong organizational, analytical, and time management skills, often supported by a degree in project management, engineering, or a related field. Proficiency in project management tools such as Microsoft Project, Primavera P6, or similar scheduling software, along with certifications like PMP or PRINCE2, is highly valued. Exceptional communication, problem-solving abilities, and attention to detail enable effective coordination with stakeholders and teams. These skills ensure projects are delivered on time, within scope, and on budget, contributing directly to organizational success.

How does a project planner typically collaborate with cross-functional teams during a project's lifecycle?

Project Planners play a central role in coordinating with various departments such as engineering, procurement, and quality assurance to ensure project milestones are met. They facilitate regular meetings, share updated schedules, and address any resource conflicts or timeline risks. Effective communication and negotiation skills are essential, as Project Planners often need to balance competing priorities and align all team members towards common goals. This collaboration helps anticipate potential delays and ensures that everyone remains informed and accountable throughout the project.

Is project planning a good career?

Project planning is a viable career that involves organizing, scheduling, and managing resources to complete projects efficiently. It requires skills in communication, organization, and often familiarity with project management tools like MS Project or Primavera. The role offers opportunities across various industries and can lead to advancement into project management positions.

About the Company

Our client is a leading global construction consultancy renowned for delivering high-profile, complex and iconic large-scale capital projects. With a strong focus on sustainability and innovation, they are truly at the forefront of their industry.

We are seeking an experienced Project Planner / Scheduler to develop and maintain OT (Operational Technology) and MES (Manufacturing Execution System) schedules for multiple pharmaceutical API facility projects at a single geographic location. This role will work as part of a scheduling team, with responsibility for creating and maintaining loosely coupled OT/MES schedules that integrate with master project schedules maintained by other team members. Projects include facility expansions and one greenfield API manufacturing facility.

Responsibilities

  • Develop and maintain detailed OT/MES implementation schedules in Primavera P6 for multiple concurrent API facility projects
  • Create Work Breakdown Structures (WBS) specific to automation systems, MES platforms, industrial networks, and process control systems
  • Establish and maintain loose coupling between OT/MES schedules and master project schedules to enable independent tracking while preserving critical dependencies
  • Define interface points, handoffs, and integration milestones between OT/MES scope and other project workstreams (construction, process equipment, utilities, CQV)
  • Work closely with CQV (Commissioning, Qualification, and Validation) schedulers to align validation dependencies and testing sequences
  • Coordinate with master scheduler(s) on each project to ensure proper integration of OT/MES activities into overall project timelines
  • Participate in integrated scheduling reviews to identify cross-discipline dependencies and conflicts
  • Maintain consistent coding structures, calendars, and reporting standards across the scheduling team
  • Contribute to portfolio-level schedule analysis and reporting
  • Schedule automation system design, configuration, FAT/SAT activities, and deployment
  • Plan MES software implementation phases including system build, integration testing, and cutover activities
  • Coordinate industrial network infrastructure installation and commissioning (switches, firewalls, server infrastructure)
  • Schedule PLC/DCS programming, SCADA configuration, and system integration activities
  • Plan for phased go-lives and production cutover windows in coordination with plant operations
  • Understand and schedule around API manufacturing constraints (containment, environmental controls, batch processing)
  • Coordinate OT/MES activities across multiple API facilities at the Boulder site
  • Account for shared resources (system integrators, IT personnel, vendors) across concurrent projects
  • Schedule facility-specific requirements for both expansion projects and the greenfield facility
  • Integrate CSV (Computer System Validation) activities into OT/MES schedules
  • Schedule IQ/OQ/PQ, or similar, activities for automation and MES systems
  • Identify and communicate OT/MES-related schedule risks and mitigation strategies
  • Update schedules weekly based on progress from system integrators, vendors, and internal teams
  • Generate OT/MES-specific reports and contribute to integrated project reporting

Qualifications

  • Minimum of 10 years of project scheduling experience, including extensive experience with Primavera P6
  • Proven experience scheduling OT/MES implementations in a pharmaceutical or other regulated manufacturing environment for at least 5 years
  • Direct experience working within a team of schedulers on large capital projects
  • Background in API or pharmaceutical manufacturing facility projects strongly preferred
  • Experience with both expansion projects and greenfield facility construction
  • Expert proficiency in Primavera P6 (required for this role)
  • Strong understanding of schedule integration techniques and loose coupling methodologies
  • Knowledge of MES platforms and their implementation lifecycles
  • Understanding of OT systems including SCADA, DCS, PLC, industrial networks, and process automation
  • Familiarity with pharmaceutical CSV requirements and validation protocols
  • Ability to work with complex multi-project P6 databases
  • Advanced critical path method (CPM) and schedule network analysis
  • Experience defining and managing interface points between loosely coupled schedules
  • Strong collaborative skills with ability to work effectively within a scheduling team
  • Excellent communication skills for coordinating with CQV, construction, engineering, and IT teams
  • Self-motivated with ability to work independently while maintaining team alignment
  • Detail-oriented with strong analytical capabilities.
  • Experience with API manufacturing facilities and containment requirements
  • Knowledge of GAMP 5 2nd Ed guidelines and 21 CFR Part 11 requirements
  • Background in both brownfield (expansion) and greenfield facility projects
  • Previous experience with multi-project P6 environments and enterprise project structures
