NorthStar Energy Services, a Quanta Services Company, is seeking a Project Admin who is responsible for supporting day-to-day project administration, document control, and coordination across multiple job sites to ensure smooth project operations and accurate record-keeping.

This role serves as a key liaison between field teams and the Lead Project Scheduler, ensuring that site-level progress, resource usage, and milestone data are captured, standardized, and communicated effectively. This position plays a critical part in maintaining the integrity of the project schedule by enabling the project controls team to make informed decisions that drive operational efficiency and forecasting accuracy.

This position will be located ON-SITE in Afton, TX.


  • Maintain and organize project documentation, including contracts, submittals, RFIs, change orders, and correspondence, ensuring records are up to date and accessible.
  • Support the project team by tracking action items, meeting minutes, and deadlines, and distributing communications to relevant stakeholders in a timely manner.
  • Assist with the preparation and submission of project reports, monthly invoices, purchase orders, and other administrative deliverables as required by project management.
  • Serve as the primary administrative point of contact between field teams, subcontractors, and the project management office for documentation and coordination needs.
  • Review and process incoming project documents for completeness and compliance, following up with internal teams and external parties to resolve discrepancies.

  • Bachelor’s degree in Construction Management, Engineering, Business or a related technical discipline, preferred
  • 3+ years of experience in project administration, scheduling, project controls, or a related field
  • Experience supporting project managers in a fast-paced construction, engineering, or utilities environment is strongly preferred.
  • Familiarity with project lifecycle documentation and standard administrative processes, preferred
  • Strong organizational skills with attention to detail and data integrity.
  • Proficiency in Excel and familiarity with scheduling or project controls software (e.g., Primavera P6, MS Project, or similar).
  • Excellent communication skills for working with field personnel, schedulers, and management.
  • Ability to work independently and manage multiple priorities under tight deadlines.
