                TRC Talent Solutions is Hiring an Administrative Assistant in Duke, OK

Looking for an opportunity where you can combine administrative support, organization, and day-to-day office coordination? TRC Talent Solutions is hiring an Administrative Assistant to support daily office and site operations for a growing industrial organization. This role is ideal for someone who is highly organized, detail-oriented, and comfortable supporting employees and visitors while also assisting with equipment tracking, reporting, and site coordination.

Job Details

  • Location: Duke, OK | Fully On-Site

  • Pay: $20-25/hr./ Dependent on Experience 

  • Schedule: Monday–Friday | 10:00am -3:00pm  

What You’ll Be Doing

  • Welcome and assist visitors with general information, accommodations, and site access

  • Coordinate hotel reservations and accommodations for employees, contractors, and business visitors

  • Monitor office supply inventory and place orders as needed

  • Coordinate routine and special office cleaning services with outside vendors

  • Assist with email correspondence, document preparation, filing, data entry, and meeting coordination

  • Coordinate with site and logistics teams to support the storage, organization, and tracking of equipment movement throughout the site

  • Prepare and distribute daily equipment delivery and condition reports

  • Photograph incoming equipment and document any visible damage, discrepancies, or concerns

  • Maintain organized electronic and physical files for reports, photographs, delivery records, and other documentation

  • Communicate equipment, delivery, storage, or condition concerns to the appropriate team members

What We’re Looking For

  • 2+ years of administrative, office support, logistics, construction-site, warehouse, or similar experience preferred

  • Strong proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams

  • Comfortable working with employees, vendors, contractors, and visitors in a professional environment

  • Previous experience in a manufacturing, construction, industrial, warehouse, or project-site environment is preferred

  • Experience coordinating travel or hotel accommodations is a plus

  • Basic knowledge of purchase orders, invoices, and vendor coordination is preferred

  • Ability to walk through equipment storage and staging areas and follow all required site safety and PPE requirements

  • Ability to occasionally lift office supplies weighing up to 25 pounds
