What are the key skills and qualifications needed to thrive as a Program Scheduler, and why are they important?

To thrive as a Program Scheduler, you need strong organizational skills, attention to detail, and a background in project management or scheduling, often supported by a relevant degree. Proficiency in scheduling software such as Microsoft Project, Primavera P6, or similar tools is typically required, and certifications like PMI-SP can be advantageous. Excellent communication, time management, and problem-solving abilities help you effectively coordinate with diverse teams and adapt to shifting project demands. These skills ensure projects stay on schedule, resources are efficiently allocated, and stakeholders remain informed, which is critical for successful project delivery.

What is the difference between Program Scheduler vs Project Coordinator?

AspectProgram SchedulerProject Coordinator
CredentialsTypically requires scheduling certifications, project management experienceOften requires organizational or administrative certifications
Work EnvironmentWorks across multiple projects within a program, often in construction, IT, or engineeringSupports individual projects, coordinating tasks and resources
Employer & Industry UsageCommon in construction, government, engineering, and IT sectorsWidely used in corporate, healthcare, and non-profit sectors

While both roles involve coordination and scheduling, a Program Scheduler manages schedules across multiple projects within a program, ensuring alignment and resource allocation. A Project Coordinator focuses on supporting specific projects, handling day-to-day tasks. The Program Scheduler's role is broader, requiring advanced scheduling skills and experience with multiple projects, whereas the Project Coordinator's role is more administrative and task-focused.

How does a Program Scheduler typically collaborate with project managers and other team members to ensure timelines are met?

Program Schedulers work closely with project managers, engineers, and other stakeholders to develop and maintain detailed schedules for projects or programs. They frequently attend coordination meetings, gather updates on task progress, and adjust schedules as needed to address delays or changes in project scope. Effective communication is key, as Program Schedulers must relay scheduling risks or conflicts promptly and help teams prioritize critical tasks. This collaborative approach ensures that project milestones are met and resources are allocated efficiently.

What does a Program Scheduler do?

A Program Scheduler is responsible for creating and managing timelines for projects or programs within an organization. They coordinate tasks, set deadlines, and ensure that all activities are on track to meet project goals. Program Schedulers work closely with project managers, team members, and stakeholders to monitor progress and address any scheduling conflicts or delays. Their role is essential for keeping projects organized and ensuring they are completed on time and within budget.

What job makes $10,000 a month without a degree?

A program scheduler typically earns less than $10,000 a month, but some high-level project managers or specialized consultants in industries like IT or construction can reach that income level without a degree, often relying on extensive experience, certifications, and strong organizational skills. These roles may involve managing complex schedules, budgets, and teams, and often require proficiency with scheduling software and industry knowledge.

Job description

Northstrat is seeking a Program Schedulerย that serves as the primary architect of the program's execution plan. In this role, you will act as the scheduling subject matter expert, providing strategic guidance to Program Management and technical leads. You will partner with the team to develop and maintain anย Integrated Master Schedule (IMS)ย while integrating specializedย Work Center, Production, and Software development schedules.

This role requires the agility to translate complex project dependencies into a clear roadmap, establishing key milestones and progress metrics across diverse workstreams. Success is driven by the ability to proactively anticipate program needs, bridge the gap between different departments, and independently drive scheduling projects to completion in a fluid environment.

Key Responsibilities:

    • Maintain a comprehensive IMSย that integrates major milestones, deliverables, and interdependencies across disparate workstreams (Engineering, Software, and Production).
    • Synchronize diverse schedule types, ensuring that Work Center/Production schedules and Software sprints/backlogs align with the overarching program-level IMS.
    • Lead cross-functional team membersย (PMs, IPT Leads, Finance, Procurement, and Logistics) to define project tasks, establish durations, and collect weekly status updates.
    • Define methodologies for "Giver/Receiver" trackingย to manage dependencies between internal teams and external customers.
    • Optimize scheduling processesย to improve visibility into program health and identify potential bottlenecks before they impact delivery.
    • Support ad-hoc scheduling effortsย for new proposals, "what-if" scenarios, and recovery plans for programs in need.
    • Develop concise schedule narrativesย and reporting metrics; experience with IPMDAR or EVMS reporting is a plus but not the primary focus.
    • Tool Mastery:ย Advanced expertise withย Microsoft Project; experience with SSI Tools, Milestone Professional, or Jira integration is highly desired.

Requirements

    • Aย bachelor's degree with 9+ years of experience, or a master's degree with 6+ years. (In lieu of a degree, 13+ years of relevant experience).
    • An activeย Top-Secretย clearance required; must be able to obtain SCI and polygraph.
    • Must haveproven experience managing different schedule formats, specificallyย Production/Manufacturingย orย Agile/Softwareย schedules.
    • Must have theability to identify, track, and model schedule risks and opportunities within the IMS.
    • Strong interpersonal skills to work effectively with Procurement, Logistics, and the Customer to ensure the schedule reflects reality.
    • Ability to think critically and provide "out-of-the-box" solutions in a fast-paced, high-pressure environment.

Flex Time

Northstrat does not mandate specific working hours. Although project requirements may dictate schedules, a Northstrat employee is only required to work an average of 8 hours per weekday over the course of a month. For example: John worked 12 hours on June 1st to meet a project deadline. On June 15th, John only worked 4 hours because he left early for a long weekend. John's IBA was not debited for time off because flex time allowed him to carry over those 4 hours from June 1st.

Whether those needs are paid time off, medical expenses, prescription drug expenses, cash disbursement, or a combination of any of these, the IBA provides flexibility to help you meet your specific goals. The IBA can be used for such things as:

IBA Benefits accrue each month in the amount equivalent to 50% of the employee's monthly compensation rate. That is, the effective dollar amount of this accrual is in addition to an employee's salary.

Profit Sharing Plan (PSP)

The PSP is a qualified retirement plan that Northstrat funds quarterly on the employee's behalf through the IBA in the amount equivalent to 25% (up to the IRS contribution limit) of the employee's compensation. That is, of the 50% accrual in the IBA, half of the amount accrued is applied to the PSP.
