The University of Miami/UHealth Department of SCCC has an exciting opportunity for a Full Time Manager, Research Support to work at the UHealth campus in Miami, Fl.
CORE JOB SUMMARY: The Manager, Research Support provides program support to facilitate research. Furthermore, the incumbent oversees research operations to ensure efficiency and compliance with applicable regulations.
CORE JOB FUNCTIONS
1. Contributes to basic and applied research activities by collecting and analyzing data and maintaining databases.
2. Understands and interprets research protocols and procedures and ensures all research is undertaken according to best practices.
3. Provides guidance, mentorship, and oversight to junior research staff and students.
4. Conducts meetings with research and other staff, outside agencies, and other applicable organizations and ensures functions are coordinated in a timely and accurate manner.
5. Provides technical and program support and resolves operational problems.
6. Assists in the preparation and publication of manuscripts and other program-related documents and reports.
7. Stays abreast of developments in the field which may impact department functions.
8. Advances expertise through continued education, training, and research.
9. Adheres to University and unit-level policies and procedures and safeguards University assets.

Education: Bachelor's degree in relevant field required

DEPARTMENT SPECIFIC FUNCTIONS
Coordinate with all relevant counterparts at all participating institutions who report to their respective MPIs as well as to project administrators. Plan and facilitate regular meetings with project investigators, staff, board members, and other stakeholders, held on varying schedules (weekly, biweekly, monthly, semi-annually, annually), to address process improvements across multiple components of research programs. Create and maintain scholar/participant databases and correspondence, including recommendation requests from past scholars and letters from appropriate entities. Manage application processes, including responding to information requests, sending application status updates, tracking acceptance responses (with reasons for declining), and processing contracts. Ensure coordination between research program activities within the broader Sylvester Comprehensive Cancer Center (SCCC). Assists senior management in the preparation of grant reports.
Program Oversight & Coordination
- Direct and manage daily operations of research programs ensuring objectives, timelines, and compliance requirements are met.
- Coordinate with all relevant counterparts at all participating institutions who report to their respective MPIs as well as to the sponsor administrators.
- Facilitate regular coordination of meetings with Project Investigators (PIs), staff, board members, and other stakeholders, held on varying schedules (weekly, biweekly, monthly, semi-annually, annually), to address process improvements across multiple components of the programs.
- Create and maintain scholar/participant databases and correspondence, including recommendation requests from past scholars and letters from appropriate entities.
- Manage application processes, including responding to information requests, sending application status updates, tracking acceptance responses (with reasons for declining), and processing contracts.
Deliverables, Reporting & Compliance
- Oversee all program reporting and deliverables, including:
- NIH/NCI RPPR submissions
- Renewal applications
- External Advisory Board (EAB), Internal Advisory Board (IAB), and Community Advisory Board (CAB) meetings and associated reports
- Collaborate with the Sylvester Pre-Award team for preparation and submission of grant materials.
- Track deliverable timelines, prepare templates, create presentation slides, coordinate internal review workflows, and manage reviewer communications.
Stakeholder Engagement & Communication
- Serve as primary administrative point of contact for the research project assigned.
- Coordinate activities with research project stakeholders, including faculty, staff, advisory boards, and community partners.
- Support integration of advisory boards into program planning, operations, and evaluation.
- Develop and implement communication strategies to disseminate program goals, outcomes, and opportunities internally and externally.
- Manage the full lifecycle of program deliverables: tracking, template generation, draft and slide preparation, review workflows, and reviewer communication.
Program Evaluation & Stakeholder Engagement
- Assist in the planning and delivery of program activities and evaluation, including feedback from participants.
- Use evaluation results to inform program improvements and strategic planning.
Fiscal & Administrative Management
- Track program budgets and expenditures, ensuring compliance with sponsor and institutional requirements.
- Coordinate with IT to ensure up-to-date program websites with accurate content, including application details, key dates, forms, and archived program records.
- Collaborate with Sylvester Post-Award administrator to manage subcontracts and grant expenditures.
Strategic Planning & Communication
- Develop and implement communication strategies to disseminate program goals and outcomes.
- Prepare materials for internal and external presentations.
Department Specific Qualifications
Education:
- Ability to work in a very busy environment and manage multiple initiatives that overlap in time. Flexibility and team building skills. Job dedication and willingness to manage and attend occasional events in the evening or on weekends.
- Computer skills, including familiarity with Microsoft Windows or Mac OS X, Office suite of programs (Word, Excel, PowerPoint, Publisher and Outlook/Exchange), Adobe Acrobat and Qualtrics. Familiarity with social media platforms is desirable.
Certification and Licensing:
Experience:
- Coordinating and delivering multi-investigator or multi-site research projects.
- Facilitating meetings, preparing reports, and supporting strategic planning.
- Ensuring research activities comply with institutional and federal guidelines.
Knowledge, Skills and Attitudes:
- Understanding of grant-funded projects and scientific protocols.
- Understanding of IRB, and other regulatory bodies.
- Knowledge of monitoring and executing budgets for research projects.
