Job description

Program Assistant

Under direct supervision, the Program Assistant is responsible for assisting the Residential, Outpatient, and Medical Records Departments with record keeping, data entry, and census management. No smoking workplace.

Essential Duties And Responsibilities Include The Following. Other Duties May Be Assigned.
  • Communicate with the Admission's department regarding new intakes and available capacity. Review new participant information and assign the participant to a counselor.
  • Reviews open participant records upon level change to ensure documentation compliance. Reports findings to the Program Director and Supervisor.
  • Monitors documentation of group and individual progress notes in CMBHS to ensure all services are documented within 72 hours. Reports findings to the program director.
  • Monitors staff compliance with federal and state confidentiality regulations. Ensure outside visitors and vendors sign the confidentiality log.
  • Attends daily morning report and records meeting minutes as requested.
  • Reports participants transfer/discharge list through email system as directed by Program Director.
  • Demonstrate trauma informed care principals and excellent customer service when interacting with participants and community partners.
  • Attends morning report and ensures daily census information is reported in a timely manner to ensure accurate billing and bed availability
  • Assists with data management initiatives to ensure efficiency, quality of care, and compliance standards
  • Records participant urine drug screen results in participant's CMBHS record. Reports findings to the Program Director.
  • Maintains participant records in compliance with DSHS, HIPAA, other regulatory agencies and Santa Maria Hostel's regulations.
  • Assists with the needs of the program and the Program Director.

Education/Experience: Minimum of high school diploma or general education degree (GED); preferred one to three months related experience in and/or training clinical aspects of the job.
