Medical Scheduler
Location: East Palo Alto, CA
Monday-Friday | 8:00 AM - 5:00 PM
Position Overview
This role works closely with physicians, clinical teams, and ancillary departments to ensure procedures are scheduled accurately, efficiently, and in alignment with provider availability, facility resources, and patient readiness.
Key Responsibilities
  • Schedule and coordinate cardiology procedures, ensuring alignment with provider block time, room availability, and equipment needs
  • Coordinate with physicians, clinic staff, and ancillary teams to confirm all procedural requirements are met
  • Monitor and adjust schedules as needed, including handling cancellations, reschedules, and urgent add-ons
  • Patient Access & Financial Clearance
  • Verify insurance eligibility, referrals, and prior authorizations prior to scheduling procedures
  • Ensure all required documentation is completed and compliant before procedures are finalized
  • Communicate clearly with patients regarding appointment details, preparation instructions, and updates
  • Enter, update, and maintain accurate scheduling data within EPIC and other systems
  • Manage work queues and incoming procedure orders, ensuring timely processing
  • Track completed procedures and assist with reporting, audits, or special projects
  • Maintain organized and accurate records to support operational efficiency and compliance
  • Serve as a key liaison between patients, providers, and internal teams
  • Provide cross-coverage support for other schedulers or departments as needed
  • Assist with onboarding and training of new team members
  • Support process improvements to enhance scheduling efficiency and reduce delays
Required Qualifications
  • High School Diploma or equivalent
  • Experience using EPIC (required)
  • Proven experience with surgical or procedural scheduling workflows
  • Strong understanding of insurance verification, referrals, and authorization processes
  • Proficiency in scheduling systems, data entry, and intermediate computer skills
  • Ability to manage high-volume scheduling with strong attention to detail and prioritization
  • Excellent communication skills for interacting with patients, providers, and staff
  • Experience in cardiology or specialty procedural scheduling
