Qualifications:ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย  3+ years of successful secretarial, administrative, or office management experience (preferably within a K12 educational environment).

Good typing ability

PERFORMANCE RESPONSIBILITIES (This list in not all-inclusive)

Front Office Management & Operations

  1. Answer phones calls from parents, district, and community regarding school, students and other questions.
  2. Oversees daily front office operations, ensuring a welcoming, efficient, safe, and professional environment for visitors, staff, and students.
  3. Provides direct administrative assistance to the Principal and Assistant Principals (e.g., managing calendars, preparing meeting agendas, drafting correspondence, and organizing campus events).
  4. Manages school-wide digital and print communications, including online calendar, newsletters, email broadcasts, mass notification updates, and daily morning announcements. Manages campus social media, alerts communications as directed by admin.
  5. Manages daily staff attendance tracking, coordinate substitute teacher check-ins, and ensure classroom coverage in alignment with district protocols.
  6. Manages office supplies, classroom resources, and instructional materials inventory; orders supplies and processes incoming deliveries.
  7. Enforces campus security procedures by managing visitor check-in systems (e.g., Raptor), issuing badges, and verifying identification.
  8. Serves as a key administrative hub during emergency drills and actual crises, maintaining access to student emergency contact forms, medical action plans, and staff radio communications.

Student Registration & Records

  1. Assists counselors, nurse and registrar with paperwork for new students.
  2. Assists registrar with cumulative folders.
  3. Request records from former school.
  4. Send grade transfers to teachers.
  5. Assists with maintaining student files as needed.
  6. Enters student schedule and give schedule to student.
  7. Assists Registrar with filing enrollment forms each year.
  8. Ensure grades are finalized and maintain end of year cumulative folders.

Secretary

  1. Create student certificates at the end of the year.
  2. Ensure letters are sent to schools and parents regarding grades and records.
  3. Maintain District van records in conjunction with Athletics and Student Activities Director.
  4. Request and maintain transportation requests for campus.
  5. Maintain records for campus keys.
  6. Help with creating, printing, and assembling campus materials.
  7. Create end of season athletic letters and awards for coaches.

Faculty/Staff Absence Reports

  1. Collect absence slips from faculty/staff.
  2. Keep record of absences.
  3. Send absence slips to payroll.
  4. Make sure all Time Sheets are filled out properly and sent to payroll.
  5. Check Time records for Classified employees.
  6. Make copies of all absence reports.
  7. Check computer list of absences from payroll each month against school records.

Miscellaneous

  1. Up-dating campus directory.
  2. Train and help new office personnel.
  3. Key Operator for copy machine.
  4. Assist to maintain Athletic records, such as sports physicals, coach folders, and contracts.
  5. Assist with Athletic parent meetings.
  6. Create athletic programs.
  7. Assist with Athletics and Student Activities programs as needed.

Term of Employment:ย ย ย ย ย ย ย ย ย ย ย ย  12 Months

Salary Range:ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย ย  Level 7- $19.01-$20.01

Evaluation Frequency:ย ย ย ย ย ย ย ย ย ย ย  Job performance will be evaluated a minimum of one time per year.
