Job description

The duties and responsibilities of this position may include, but are not limited to, the following:
• Co-Receptionist and front desk support for Power System Executive Office (PEX/System); greets visitors; answers and screens incoming telephone calls; answers inquiries from LADWP employees, customers, the public, and outside agencies; provides excellent customer service.
• Prepares travel plans and expense reports using XM and Concur for the COO-Senior AGM of the Power System.
• Performs a thorough preliminary review of travel plans and expense reports for System-level approval in compliance with City Travel Policy and Power System procedures; processes XM user forms for traveler/proxy profile set-up or modifications.
• Performs a thorough preliminary review of sponsorship and membership requests for System-level approval in compliance with LADWP and City policy and guidelines.
• As needed, assists with document processing for System-level approval: receives, logs, routes, tracks, distributes, and maintains System e-files.
• Assists with logistics (preparations and coordination) for PEX meetings and/or special events.
• Serves as P-Card holder for PEX.
• Assists with the preparation of meeting material and maintains PEX resource e-files.
• As needed, may travel to coordinate logistics, attend meetings and summarize the discussion with little to no prior notice. May travel as far as Owens Valley.
• As needed, assists with organizing, scanning, and e-filing PEX records to FileNet and local shared drives; may assist with annual records retention.
• May order office supplies, including copier paper and toner, for Rooms 921 and 915.
• Initiates service calls for copiers and coordinates office-related service requests.
• Assists with maintaining the utility/copy and conference rooms orderly and ready for use.
• As needed, may type, organize, duplicate, and/or distribute correspondence in compliance with LADWP policies and procedures and Secretarial Manual
• Performs other related clerical duties and support services as instructed by the Supervisor.
