Executive Assistant to Chief Financial Officer (CFO)

Location: San Diego

Reports to: Chief Financial Officer

Job Summary

We are seeking a high-calibre Executive Assistant to the CFO who operates with energy, pace, and exceptional judgement in a dynamic, high-performance environment.

This role goes beyond traditional administrative support. You will act as a trusted partner to the CFO, enabling effective prioritization, ensuring seamless execution, and supporting engagement across a complex, global stakeholder landscape-including investors, Board-level interactions, and senior leadership forums.

This role reflects a step-change in pace, intensity, and operating rhythm, aligned to a CFO who operates with high energy, rapid decision-making, and a strong focus on forward momentum. It requires an individual who brings both proactive foresight and the confidence to engage, challenge, and drive clarity-acting as a true partner in navigating complexity and enabling speed at the highest levels of the organization.

Over time, the role is likely to expand to incorporate elements of strategic coordination and operational rhythm, supporting alignment across Finance priorities and contributing to activities often aligned with a Chief of Staff.

Let's talk about Responsibilities:

Executive Enablement & Prioritization

  • Own and optimize a highly complex, global calendar, ensuring focus on high-impact activities
  • Anticipate needs and prepare briefing materials for key engagements
  • Act as a trusted gatekeeper, exercising strong judgement and autonomy

Investor, Board & External Interface

  • Support investor-related activities, including roadshows and key communications
  • Enable CFO engagement with investors, auditors, regulators, and external stakeholders
  • Coordinate inputs for external reporting and announcements

Strategic Coordination & Rhythm of Business

  • Support Finance Leadership Team cadence and priorities
  • Track actions, decisions, and follow-ups
  • Coordinate materials and drive alignment across stakeholders
  • Contribute to cross-functional initiatives and projects

Communication & Executive Representation

  • Serve as a key point of contact on behalf of the CFO
  • Draft high-quality communications, presentations, and briefings
  • Manage and prioritize information flow

Meetings, Events & Engagement

  • Plan and execute leadership meetings, offsites, and investor events
  • Ensure seamless execution and adaptability
  • Support Finance conferences and large-scale events

Global Travel & Administration

  • Manage complex global travel arrangements
  • Oversee expense management and approvals
  • Maintain strong administrative discipline

Operational Excellence

  • Identify process improvements and efficiencies
  • Bring business and financial awareness to the role
  • Operate with a proactive, solution-oriented mindset

Lets talk about qualifications and Experience

Required

  • Significant experience (typically 7-10+ years) supporting C-suite executives in complex, fast-paced environments
  • Demonstrated ability to operate with independence, judgement, and discretion at the highest level
  • Experience supporting senior stakeholder engagement, including Board-level or external-facing interactions
  • Strong organizational capability with the ability to manage multiple priorities and competing demands
  • Excellent written and verbal communication skills, with the ability to tailor messaging to different audiences
  • High level of professionalism, integrity, and ability to manage confidential information

Preferred

  • Experience in Finance, or regulated environments
  • Exposure to investor processes, financial reporting cycles, or governance forums
  • Tertiary qualification in Business, Finance, or related discipline
  • Experience contributing to project coordination or leadership team operations
  • High energy and resilience
  • Strong judgement, independence and foresight
  • Executive presence
  • Adaptable and proactive

Preferred

  • Relevant tertiary qualification
  • Experience in regulated environments
  • Project coordination experience

Why This Role

This role sits at the centre of the Finance function, offering exposure to strategic priorities, investor engagement, and executive decision-making. It provides an opportunity to evolve into a broader coordination and leadership enablement role.
