Executive Personal Assistant to a Successful Dentist & Business Owner

Location: Chattanooga, TN

Employment Type: Full-Time

Work Arrangement: In-Person


Position Overview

We are seeking an exceptional Executive Personal Assistant to become the trusted right hand to a successful dentist and business owner.

This is a high-impact role for a highly organized, proactive, and resourceful professional who thrives in a fast-paced environment and enjoys creating structure, solving problems, and ensuring priorities are executed successfully.

This position goes beyond traditional administrative support. The Executive Personal Assistant will help manage the many moving parts of the executive’s professional and personal life, including business operations, family logistics, travel, and important personal responsibilities.


The ideal candidate is someone who anticipates needs, exercises excellent judgment, works independently, and takes ownership of making things happen.


Role Overview

The Executive Personal Assistant will support four key areas:

• Business operations

• Personal responsibilities

• Family logistics

• Travel and lifestyle management


The successful candidate will not make executive decisions but will ensure priorities are organized, communicated, scheduled, and completed efficiently.


Key Responsibilities

Executive & Business Support

• Manage and organize the executive’s calendar, meetings, and appointments

• Prioritize and organize email communications and follow-up items

• Draft professional correspondence and emails in the executive’s voice

• Coordinate meetings, recruiting activities, and candidate communication

• Communicate with vendors and external partners

• Manage continuing education registrations and conference travel

• Coordinate business travel arrangements and itineraries

• Track projects, deadlines, and action items

• Organize documents, systems, checklists, and standard operating procedures (SOPs)

• Identify opportunities to improve efficiency and streamline workflows


Personal & Family Support

• Coordinate personal appointments, including medical and dental appointments

• Manage family calendars and important schedules

• Coordinate children’s activities, school events, sports, camps, and extracurricular commitments

• Assist with vacation planning, reservations, and special events

• Manage reminders for important deadlines, renewals, and commitments

• Coordinate home maintenance, vehicle servicing, and household appointments

• Assist with gifts, personal planning, and other lifestyle responsibilities


Travel & Event Management

• Research and coordinate travel arrangements

• Manage flights, accommodations, transportation, and itineraries

• Organize professional conference travel and personal trips

• Ensure travel details and schedules are communicated clearly

Qualifications & Experience

Required

• Experience supporting executives, physicians, attorneys, entrepreneurs, or business owners

• Exceptional organizational and time-management skills

• Strong written and verbal communication abilities

• Excellent judgment and problem-solving skills

• Ability to manage multiple priorities independently

• High level of professionalism, maturity, and discretion

• Strong technology skills and ability to learn new systems quickly


Technology Skills

Experience with:

• Google Workspace

• Microsoft Office

• Apple ecosystem and devices

• Calendar management tools

• Travel booking platforms

• AI productivity tools such as ChatGPT, Claude, or similar platforms
