Job description

People Operations Specialist

Location: Nashville, TN (hybrid)
Reports to: Head of Corp Ops
Type: Full-time

The Role

This is a hands-on execution role. The People Operations Specialist keeps the day-to-day people engine running cleanly, while also being proactive about identifying inefficiencies and improving processes. You support employees, managers, and leadership by making sure the basics are done right—every time. Build a seamless onboarding experience. Records are clean. Questions get answered. Nothing slips through the cracks.

This role is ideal for someone early-to-mid career in HR who wants real ownership, exposure to the full employee lifecycle, and a front-row seat to how a company scales. You’ll play a critical role in ensuring operational excellence, building trust through precision, responsiveness, and consistency. The culture at this stage is still heavily founder-driven and relationship-driven, not policy-driven. The systems should support the culture, not replace it.

What You Own

Employee Lifecycle Support

  • Execute seamless onboarding and offboarding processes end-to-end

  • Maintain compliant, audit-ready employee records, files, and documentation (exs., I-9, payroll, benefits, etc.)

  • Ensure accuracy across HR systems, payroll inputs, and benefits administration

Employee Support

  • Serve as the first point of contact for employee HR questions

  • Provide clear, timely answers or route issues appropriately

  • Help employees navigate benefits, policies, and internal processes

People Operations Systems

  • Support and maintain HRIS and people tools

  • Track key HR data (headcount, turnover, onboarding status) via our HR platform Rippling.

  • Partners with leadership on audits, compliance initiatives, reporting, and scaling people systems

Hiring & Onboarding Logistics

  • Working with our ATS (Ashby), internal teams, any external recruiters to facilitate both building a company database of potential hires and keeping the recruiting process running seamlessly.

  • Coordinate interview scheduling and candidate communications

  • Drafting offer letters and new hire paperwork

  • Ensure new hires are set up and productive on day one

Culture & Process Support

  • Assist with performance review cycles and feedback collection

  • Help operationalize culture initiatives and internal communications

  • Identify process gaps and propose improvements

What You Bring
  • 2–4 years of experience in HR, people operations, or a related operations role

  • Must have experience with ATS systems (ideally ashby) and employee management systems (ideally rippling)

  • Must understand and execute all state level labor requirements

  • Strong organizational skills and attention to detail

  • Comfort handling confidential information

  • Clear written and verbal communication

  • Ability to manage multiple tasks without losing precision

  • Startup or high-growth environment experience is a must.

How You Work
  • Detail-oriented and dependable

  • Responsive and service-minded

  • Organized, methodical, and consistent

  • Comfortable learning new systems and processes

  • Low ego, high accountability

Compensation

The base salary range for this role is competitive and will be determined based on the candidate’s relevant skills, experience, and geographic location. In addition to base pay, total compensation may include performance-based incentives, benefits and company options.

Security, Privacy & Compliance

This role may handle PHI/PII and must follow HIPAA, company privacy policies, and least-privilege access practices.
