SUMMARY

This position is responsible for receiving payroll information from assigned clients and/or Payroll Specialists and provides support by inputting new hire, changes, and termination information. This role resolves high-volume requests by taking ownership and coordinating with internal departments as necessary to obtain positive resolutions. This position is also responsible for upholding the integrity of the client and employee data base and ensures all compliances are met. The Associate Payroll Specialist I is focused on learning payroll after successful completion of Insperity training programs. The position will begin to increase complexity of payroll tasks and projects after six months in role.

RESPONSIBILITIES

  • Maintains excellent customer service standards to ensure customer satisfaction.
  • Works as a team member to maintain the highest level of customer service quality and productivity.
  • Services clients and internal partners by receiving employee paperwork, which includes new hires, employee changes and terminations.
  • Upholds the integrity of the client and employee data base and ensures all compliances are met.
  • Receives payroll information from clients or Payroll Specialists, processes payroll information and produces client specific payroll checks, invoices and standard payroll reports.
  • Ensures accuracy of payroll input, balancing input to payroll worksheet and payroll reports to clients.
  • Provides backup documentation to Finance department, if needed, for wires.
  • Maintains accurate delivery instructions for each payroll in the system.
  • Attends weekly department training meetings and reviews procedure manual on an ongoing basis.
  • Establishes clear communications with client, employees and team members in order to better serve the client.
  • Consults with Supervisor and Payroll Trainer when responding to new or different questions from clients and employees.

In addition to the above Essential Functions, this position requires the APS I should also have knowledge and fulfill the duties of the skillset area of the applicable role below:

Shared Services:

  • Trains with the Shared Services team, Supervisor and Payroll Trainers to develop skill levels.
  • Assists with data analytics, trends, and load balancing by maintaining a daily report of completed tasks.
  • Supports payroll-related tasks by completing research and resolving issues
  • Builds payroll experience by incorporating increased complexity of payroll tasks and projects over the course of a year to gain payroll knowledge of accepted payroll practices.
  • Documents, forwards, as needed, and follows-up on issues that require supplemental support for resolution.

Payroll:

  • Trains with the Payroll team, Supervisor and Payroll Trainers to develop skill levels.
  • Coordinates with the Finance department, when necessary, and follows through with the client to ensure funds are received.
  • Builds and maintains client load to a specific number of clients over the course of a year in order to gain payroll experience and knowledge of accepted payroll practices.
  • Processes payroll information and produces client specific payroll checks, invoices and standard payroll reports.

Client Implementation:

  • Trains with the Client Implementation team, Supervisor and Payroll Trainers to develop skill levels.
  • Coordinates with the Finance department, when necessary, and follows through with the client to ensure funds are received.
  • Develops and maintains extensive knowledge of complex processes.
  • Processes payroll information and produces client specific payroll checks, invoices and standard payroll reports.

QUALIFICATIONS

  • High School Diploma or equivalent is required. Bachelor's Degree in related field is preferred.
  • One plus years of relevant work experience is required.
  • Basic understanding and entry level payroll knowledge.
  • Strong research and analytical skills, with the ability to accurately enter data.
  • Strong working knowledge of Excel, Word and MS Teams.
  • Assists in operating data entry equipment; maintaining and monitoring employee records with accuracy and detail with narrow time limitations; maintaining records, posting data and making arithmetic calculations with speed and accuracy; organizational methods and techniques relating to maintaining large paperless filing systems accurately and efficiently.
  • Ability to solve problems and make decisions, following established company policy guidelines; methods and techniques relating to establishing and maintaining customer service; communicating clearly and concisely, verbally and in writing; following verbal and written instructions; working independently from general instructions; and maintaining effective work relations with those encountered in the course of employment.
