Job description

ABOUT THE ROLE 

Harbinger Motors is looking for an Order Processing Admin to support our Distribution & Sales Planning team. This role is responsible for accurately processing and entering customer and dealer orders, coordinating templated email communications with internal and external stakeholders, and ensuring that all order-related paperwork is completed, accurate, and properly filed. This is a detail-oriented, process-driven role that keeps our order pipeline moving smoothly and our records audit-ready.

KEY RESPONSIBILITIES

  • Process and enter incoming orders into internal systems accurately and in a timely manner
  • Review order details for completeness and accuracy prior to entry; flag and resolve discrepancies
  • Coordinate order-related email communications using established templates, ensuring the right stakeholders (dealers, upfitters, internal teams) are informed at each step
  • Track order status and follow up proactively to keep orders moving through the pipeline
  • Ensure all required order paperwork (contracts, confirmations, allocation and delivery documentation) is complete, correctly filed, and easy to retrieve
  • Maintain organized, up-to-date digital filing systems in line with company recordkeeping standards
  • Identify and escalate missing documentation or data gaps to the appropriate team member
  • Support ad hoc reporting or data pulls related to order status and documentation

QUALIFICATIONS

  • 1+ years of experience in order processing, sales/administrative support, or a similar operations role
  • Strong attention to detail and comfort working with structured data entry processes
  • Proficiency with Google Workspace (Sheets, Docs, Gmail) and/or Microsoft Office
  • Clear, professional written communication skills
  • Ability to manage repetitive, high-volume tasks while maintaining accuracy
  • Strong organizational skills and reliable follow-through on outstanding items
  • Experience with CRM, ERP, or order management systems is a plus
  • Experience in automotive, EV, or fleet/commercial vehicle industries is a plus but not required
