Job description

As a Project Coordinator, you will be responsible for;

  • Coordinating travel arrangements, logistics, and equipment shipments for field commissioning engineers and technicians.
  • Tracking team availability and supporting resource deployment across multiple project sites.
  • Maintaining project tracking systems, status dashboards, and project documentation.
  • Organizing and managing project reports, deliverables, document control systems, and administrative follow-up activities.
  • Supporting the Quality Management System by maintaining commissioning checklists, standardized forms, quality records, and audit documentation.
  • Tracking completion of commissioning and quality control documentation and ensuring compliance with retention requirements.
  • Coordinating site onboarding requirements, safety certifications, compliance documentation, and customer-specific training requirements.
  • Ensuring all site access and entry requirements are completed prior to field deployment.
  • Coordinating purchase orders, vendor invoices, procurement activities, and departmental budget tracking.
  • Scheduling and coordinating internal and external meetings, preparing agendas, tracking action items, and supporting leadership reporting.
  • Serving as a liaison between commissioning teams, project stakeholders, finance, procurement, and other internal departments.
  • Supporting resource planning, scheduling activities, operational improvements, and cross-functional communication efforts.

Qualifications;

  • 5+ years of administrative, project coordination, operations support, or related experience.
  • Strong organizational skills with the ability to manage multiple priorities and concurrent projects.
  • Proficiency with Microsoft Office Suite and Google Workspace.
  • Excellent written and verbal communication skills with strong attention to detail and follow-through.
  • Understanding of quality documentation, document control principles, and administrative processes.
  • Experience supporting field operations, engineering teams, or technical organizations preferred.
  • Familiarity with project management tools such as Microsoft Project or Smartsheet preferred.
  • Knowledge of procurement processes, vendor management, and expense tracking systems preferred.
  • Understanding of compliance, safety documentation, and onboarding requirements preferred.
  • Experience working within a Quality Management System (ISO 9001 or similar) preferred.
  • Associate's or Bachelor's degree in Business Administration or a related field preferred
