Operations Coordinator - Hybrid - 2 Days / Month in Office

Operations Coordinator -

The Operations Coordinator will support the day-to-day operational functions of Big Bold Health, serving as a key point of contact for customer service, Amazon FBA, wholesale and EDI orders, vendors and inventory. They will coordinate purchase orders and quality testing, monitor operational KPIs, maintain accurate inventory and order records, identify and resolve operational issues and support process improvements and cross-functional projects. The role will work closely with the Director of Operations and senior leadership to ensure the business runs efficiently, proactively identify risks and opportunities and provide hands-on support wherever needed.

What You Will Be Doing -

Customer Service Operations

  • Own day-to-day customer service operations within Gorgias, including ticket queues, response quality, escalations, workflows, macros and automation.
  • Monitor customer service metrics and identify trends, recurring issues and opportunities to improve the customer experience.
  • Partner with internal teams to resolve customer issues and improve processes.


Amazon FBA and Fulfillment

  • Manage Amazon FBA inventory operations, including inventory planning, shipment coordination and listing health.
  • Monitor inventory levels and proactively identify potential stockouts, fulfillment issues and shipment delays.
  • Coordinate with Amazon and fulfillment partners to ensure products remain available and orders are fulfilled efficiently.


Inventory, Purchasing and Vendor Operations

  • Place and track purchase orders with domestic and international vendors, monitoring timelines and proactively communicating potential delays or risks.
  • Coordinate product quality testing and ensure required testing is completed in accordance with Big Bold Health's quality and safety standards.
  • Manage day-to-day vendor deliverables, including specifications, samples, production timelines and deliveries.
  • Serve as the primary operational point of contact for vendor logistics and timelines, escalating strategic or relationship-related matters to the Director of Operations.
  • Maintain accurate inventory records and reconcile NetSuite and 3PL inventory data.


Wholesale and EDI Order Management

  • Serve as the primary operational contact for wholesale and retail order processing.
  • Process and enter wholesale purchase orders and generate customer invoices.
  • Manage EDI order operations and ensure orders are accurately processed and fulfilled.
  • Support the onboarding of new wholesale accounts and maintain accurate customer and account records.


Operational Reporting and Process Improvement

  • Track and report key operational KPIs across customer service, inventory, fulfillment and wholesale functions.
  • Monitor operational performance and identify trends, inefficiencies and opportunities for improvement.
  • Proactively identify operational risks, including stockouts, vendor delays, system issues and order discrepancies and recommend solutions.
  • Support inventory forecasting and reorder planning by maintaining accurate day-to-day data and projections.


Cross-Functional Operations and Projects

  • Partner closely with the Director of Operations and cross-functional teams to support day-to-day business operations and strategic initiatives.
  • Provide regular updates on customer service, inventory, vendors, fulfillment and wholesale operations.
  • Support operational projects such as systems integrations, vendor transitions, packaging initiatives and process improvements.
  • Provide general operational support to the Big Bold Health team and senior executive leadership as needed.


What It Takes / Requirements -

  • 2+ years of experience in operations, customer service management, or supply chain / vendor coordination
  • DTC and / or CPG experience highly preferred
  • Experience with order / subscription management systems such as NetSuite or Skio preferred
  • Familiarity with EDI processes and platforms (e.g., SPS Commerce, Celigo) preferred
  • Experience with helpdesk / CRM platforms (Gorgias preferred) and e-commerce platforms (Shopify a plus)
  • Working knowledge of Amazon Seller Central / FBA operations
  • Proven experience managing purchase order processing, invoicing and vendor relationships
  • Curiosity and passion for health, wellness and longevity
  • Excellent organizational skills, with the ability to manage multiple workstreams simultaneously
  • Strong verbal and written communication and collaboration skills, with the ability to work cross-functionally and contribute to a mission-driven, high-integrity brand


Big Bold Health offers a competitive compensation and benefits package. The starting base rate for this role is $25.96 to $30.77/hour. Final compensation will be determined based on relevant experience, skills, education and overall qualifications.
