About This Role

Operations Manager / Assistant

Full-time • Remote

The Operations Manager / Assistant reports directly to the Head of Services and serves as a strategic right hand in scaling our Services business, which includes an advice-only RIA and a team of Financial Wellness Coaches.

This role is ideal for someone who loves building structure behind the scenes - someone who thrives on creating order, improving systems, and helping a growing business scale with clarity and excellence. You will play a critical role in strengthening our operational foundation so we can serve more clients without sacrificing quality.

You'll oversee day-to-day operations, manage key compliance and billing processes, support and coordinate our 1099 advisors and coaches, and continuously improve workflows, dashboards, and systems. You are energized by efficiency, precision, and proactive problem-solving, and you take pride in helping leaders operate at a higher level.

Key Responsibilities

Operational Leadership & Team Support

  • Serve as operational partner and right hand to the Head of Services
  • Oversee daily workflows to ensure alignment, accountability, and consistency across advisors and coaches
  • Manage scheduling, email campaigns, workload tracking, and demand vs. capacity planning
  • Support onboarding of new advisors and coaches; continuously improve the onboarding experience

Billing & Revenue Operations

  • Own the end-to-end billing process, including invoicing, reconciliation, audits, and revenue tracking, automating whenever possible
  • Manage monthly advisor and coach compensation processes

Compliance Oversight

  • Maintain and manage the compliance calendar
  • Ensure timely completion of filings, annual reviews, quarterly holdings reports, email reviews, attestations, vendor due diligence, and required testing

Systems & Scalability

  • Become the internal expert on our tech stack (CRM, financial planning software, billing software, scheduling tools, etc.)
  • Build and maintain dashboards that provide accurate, real-time visibility into performance metrics
  • Identify inefficiencies and implement scalable process improvements

KPIS + Targets

  • Revenue growth and operational support of business scaling
  • 99%+ billing accuracy
  • 100% on-time compliance completion
  • Client satisfaction rating of 4+ stars
  • 25% improvement in operational efficiency metrics
  • Accurate, up-to-date dashboards with zero material reporting errors
Qualifications
  • 2+ years of experience in operations, client service, or administrative support within an RIA, wealth management firm, or financial services environment
  • Working knowledge of RIA operations, compliance processes, billing, and advisor workflows
  • Strong proficiency in Google Sheets (dashboard building required)
  • Experience auditing work for quality and tracking performance metrics
  • High attention to detail and strong follow-through
  • Clear, professional written communication skills
  • Ability to manage recurring operational processes with consistency and reliability
Salary Range

$85,000 -100,000/annual DOE
