Akin Gump Strauss Hauer & Feld LLP is a leading international law firm with more than 900 lawyers in offices throughout the United States, Europe, Asia and the Middle East. We are currently seeking an Office Services Assistant in our Office Services department, reporting directly to Operations Manager. 
 
The position will reside in the New York office and will be responsible for supporting office moves, performing basic maintenance tasks, and coordinating various work requests. The role involves preparing workspaces for incoming or departing employees and managing content deliveries related to these transitions. Additional responsibilities include operating high-speed and color copiers, binding documents, and ensuring timely completion of document production projects. The Office Services Assistant also assists with sorting and distributing both incoming and internal mail. Exceptional service must be provided to attorneys, advisors, and staff, fostering teamwork and ongoing improvement. 
 
Key responsibilities of this position include: 
  • Work with the Operations team to oversee routine office maintenance, as well as handle reprographics and mail requests.
  • Assist with all internal office relocations by prepping workspaces for new hires, packing items for departing staff, and coordinating the transportation of their belongings.
  • Facilitate office relocations by efficiently handling boxes, furniture, and equipment.
  • Collaborate with the Office Services team to prioritize workflow effectively.
  • Submit service tickets with building management or outside vendors as needed.
  • Prepare meeting and event rooms through strategic arrangement of furniture and required equipment and oversee room teardown post-event.
  • Act as a contact point to ensure all facility needs are met and respond to any issues that arise in a timely manner.
  • Operate high-volume copiers (Xerox/Canon) to produce documents and presentations, including tasks such as collating, binding, and inserting numbered or lettered tabs.
  • Responsible for quickly and adequately producing detailed, high-quality printed materials.
  • Assist in sorting and distributing incoming, interoffice, and nightly mail collections
  • Prepare, send, receive, and track hand deliveries, including Federal Express and UPS packages.
  • Support departmental supply procurement and maintain copier convenience areas fully stocked.
  • Execute additional responsibilities as assigned. 
Qualifications (Experience, Knowledge, Skills & Abilities):
  • High School Graduate or its equivalent.
  • Minimum of one-year of experience of high-volume copiers. Experience in a law firm office services environment preferred. 
The anticipated base salary for this position in New York, NY is $53,000.  The actual salary offered will be based on several factors, including, but not limited to, relevant education, qualifications, years of relevant experience, certifications or other professional licenses held, job-related knowledge and skills, business needs, and the location from which the work will be performed.  Additionally, salary or hourly wages may be only part of the total compensation package, which may also include a full range of health and other insurance benefits, financial and/or other benefits (including 401(k) eligibility), a discretionary bonus, and various paid time off benefits.  Additional information about benefits and rewards can be found here.
