Job description

We are hiring an Office Service Coordinator to join a top entertainment company in Orlando, FL. This freelance position will be running until January 2027 with potential to extend and will be fully onsite in their Kissimmee HQ.
  • Location: Kissimmee, FL (Fully Onsite)
  • Duration: Through January 2027 (with potential to extend)
  • Pay Rate: $25/hr

Responsibilities:
  • Provide office services support and coordination for internal clients such as assistance with custodial, maintenance, technology, workstation/furniture, general facility, and asset access in addition to comprehensive campus knowledge.
  • Meet with vendors to obtain proposals for renovation projects, manage project progress and schedule. Key contact with vendors and clients during business and afterhours as some projects need to be scheduled afterhours to minimize disruption.
  • Create and process purchase orders for projects and reoccurring services via SAP, utility bill and PO payment, ZAP invoice uploads and receipt of shipments.
  • Process access requests and audit access control.
  • Coordinate asset liquidation. Liaison with property management on repairs, maintenance reporting and follow-up. Some repairs require coordination on weekends or evenings to minimize impact to teams.
  • Maintain external vendor relations, assist with product delivery scheduling, and installs. Provide on-site support for vendors or partners working within our spaces.
  • Ensure mail and package delivery processes are efficient and effective across campus including accepting receipt, sorting, and informing recipients of arrivals. Also includes unpacking and sorting delivered "bullets" from the ships.
  • Facilitate monthly Tenant Representative meetings, including agenda preparation, scheduling and meeting recaps, and follow-up on identified issues.
  • Represent in Celebration Campus Tenant Rep meetings lead by Building & Property Management.
  • Share important facility related information to 40+ tenant representatives on a timely and efficient basis by managing a Teams site for the tenant representatives as a resource center containing guides, forms, floorplans, and other essential campus information.
  • Order and manage inventory of computer equipment such as peripherals, monitors, and docking stations for workstations.
  • Appspace Systems administrator/subject matter expert. Liaison between Appspace partners and tenant reps. Troubleshoot issues and report resolutions to clients on system updates accordingly. Provide subject matter expert support to Cast. Responsible for utilization reports, and floor plan updates.
  • Participate in the safety committee, assist the Operations Center manager with Everbridge (mass text notification system) set up and information maintenance. Support the resolution of identified facility safety related issues.
  • Assist Office Services & Work Flex Planning Manager on projects as needed.
  • Support campus special projects or events that require logistical planning and services.
  • Support kitchen and office supply ordering and distribution of materials across campus.
  • Partner with Building & Property Management with floor plan updates and wayfinding.
  • Manage Office Services inbox to assist tenant representatives with questions and requests in a timely manner.
  • Co-owner of meeting spaces. Responsible for maintaining user visibility and special event scheduling.
  • Manage Office Services cost center SAP financial reports to track spending, analyze budget, and request for reclass of expenses when needed.

Required Qualifications:
  • 1+ years of experience in office administration, office services, workplace operations, facilities coordination, or administrative support.
  • Experience supporting a corporate office environment.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Customer service and internal client support experience.
  • Ability to prioritize multiple requests in a fast-paced environment.
  • Strong attention to detail and follow-through.
  • Ability to work independently while collaborating with cross-functional teams.
