Position Summary:

We are seeking a highly organized, proactive Office Manager to ensure the smooth day-to-day operation of our office while providing light administrative support to leadership and cross-functional teams. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes ownership of creating an efficient, welcoming workplace.


Key Responsibilities:


Office Operations & Facilities Management

  • Maintain a clean, organized, and fully stocked office environment (kitchen, supplies, common areas)
  • Manage inventory and ordering of office supplies, snacks, and beverages
  • Oversee mail, shipping, and delivery coordination
  • General office equipment upkeep
  • Maintain office layout, seating charts, cube identification, and nameplates
  • Ensure shared spaces are regularly cleaned and maintained
  • Coordinate access control, security procedures, and emergency protocols in partnership with safety teams
  • Support onsite visits (customers, vendors, partners), including logistics and preparation.

Calendar & Scheduling Support (Light Admin duties)

  • Coordinate complex scheduling across teams, including leadership calendars as needed
  • Resolve scheduling conflicts and prioritize meeting needs
  • Book conference rooms and manage logistics for large meetings
  • Assist with occasional external scheduling (e.g., agency partners)
  • Provide limited support for travel booking and expense tracking.

Organizational & Event Support

  • Coordinate onsite interviews and candidate logistics
  • Manage internal office communications and announcements
  • Support vendor sourcing and procurement of materials (e.g., signage, swag, event supplies)
  • Assist with planning and execution of internal events, including:

Monthly town halls (scheduling and materials coordination)

Annual team events

Company-wide gatherings (e.g., picnics)

Volunteer and charity events

  • Support trade show and event logistics
  • Coordinate product orders, pickups, and sample deliveries for internal teams.

Requirements

  • 5+ years of experience in office management, workplace operations, or administrative support
  • Strong organizational and multitasking skills with attention to detail
  • Ability to manage competing priorities and solve problems proactively
  • Excellent communication and interpersonal skills
  • Comfortable working independently and taking initiative
  • Experience with calendar management tools and office systems (e.g., Google Workspace, Microsoft Office).

Preferred Skills

Compensation:

The annual salary range for this position is $55,000 to $85,000, reflecting the anticipated compensation at the time of posting. Final compensation within this range will be determined based on several factors, including, but not limited to, education, certifications, relevant experience, travel requirements, and overall business needs. In addition to base salary, eligible employees may also be eligible for an annual bonus and are provided with a comprehensive benefits package, which includes paid time off, medical, dental, and vision coverage, life insurance, short- and long-term disability insurance, paid parental leave, and a 401(k) retirement plan with company match.
