Innovative Orthopedic Surgery and Sports Medicine practice with multiple locations specializing in the treatment of orthopedic and sports-related injuries is looking for a full-time Medical Office Manager with strong leadership skills to effectively guide and motivate their team. This is a great opportunity for someone who is excited by the prospect of collaborating with the Practice Administrator and Physician Owner to help build a solid team with a bright future.

We are looking for an Office manager to organize and coordinate administrative duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. Office Manager duties and responsibilities include managing the day-to-day operations of the practice, coordinating with outside vendors, scheduling meetings and appointments, and providing general administrative support to the Practice Administrator. Previous experience as an Office Manager or Office Administrator would be an advantage. A successful Office Manager should have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties. Ultimately, the Office manager should be able to ensure the day-to-day operations run as smoothly as possible.


Responsibilities

  • Serve as the point person for the Practice Administrator and Physician Owner.
  • Assist in the onboarding process for new hires.
  • Train and regularly evaluate staff performance.
  • Identify areas for improvement and implementation while incorporating staff ideas for change.
  • Organizing and managing staff schedules according to business needs.
  • Organize office policies and procedures as directed by Practice Administrator.
  • Delegate and supervise office tasks to team members.
  • Support team members as needed with clerical and administrative tasks, and troubleshooting IT issues.
  • Maintain the office condition and arrange necessary repairs.
  • Field patient concerns and questions that cannot otherwise be handled by senior team members.
  • Fill in where and when needed throughout the practice and possibly cross locations.
  • Ensure data management and patient privacy are strictly enforced at all times.
  • Plan in-house or off-site activities, celebrations, and conferences to enhance employee engagement.


Skills

  • Proven experience as an Office manager, Front office manager, or Administrative assistant.
  • Emotional intelligence with the capacity to embrace new methods and ideas.
  • Excellent customer service skills with attention to detail and the ability to problem-solve on the fly.
  • Knowledge of office administrator and business responsibilities, systems, and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
