Job Summary:ย 

The Office Managerย is responsible forย overseeing the daily administrative and operational functions of multiple Behavioral Health clinic locations in Tinley Park, Schaumburg, and Northbrook. This role ensures efficient clinic operations, regulatory compliance, high-quality patient experience, andย strong teamย performance across all sites. The Office Manager serves as a key liaison between clinical staff, administrative teams, and leadership.ย 

Supervisory Responsibilities:ย 

  • Oversee day-to-day operations across all assigned clinic locationsย 
  • Supervise front office staff, patient coordinators, and administrative personnelย 
  • Conduct training, onboarding, and ongoing performance managementย 
  • Address staff concerns, resolve conflicts, and foster a positive work environmentย 
  • Partner with clinical leadership to support therapists and providersย 
  • Act as liaison between sites and executive leadershipย 
  • Provide regular reporting on performance, staffing, and operational updatesย 

Responsibilities:ย 

  • Ensure consistent workflows, policies, and procedures are implemented across sitesย 
  • Monitor clinic performance metrics (patient volume, scheduling efficiency, no-show rates, etc.)ย 
  • Identifyย operational gaps and implement process improvementsย 
  • Participate in marketing and meeting eventsย 
  • Ensure high-quality patient experience from intake through dischargeย 
  • Oversee scheduling processes and ensureย timelyย access to careย 
  • Manage patient complaints and service recovery effortsย 
  • Ensure compliance with state, federal, and organizational policies (HIPAA, OSHA, etc.)ย 
  • Support QA audits and ensure documentation standards are metย 
  • Maintain readiness for audits, inspections, and accreditation reviewsย 
  • Monitor office budgets, supplies, and operational expensesย 
  • Support billing coordination and ensureย accurateย insurance verification processesย 
  • Track productivity and support revenue cycle efficiencyย 
  • Coordinate cross-functional initiatives with HR, IT, and clinical departmentsย 
  • Performs other duties as assignedย 

Education and Experience:ย 

  • Bachelor's degree in healthcare administration, Business Administration, or related field preferredย ย 
  • 3-5+ years of office management experience, preferably in healthcare or behavioral healthย ย 
  • Experience managing multiple sites strongly preferredย ย 

Required Skills/Abilities:ย ย 

  • Strong leadership and team management skillsย ย 
  • Excellent organizational and multitasking abilitiesย ย 
  • Knowledge of healthcare regulations and compliance standardsย ย
