Office Manager


Jet Passport is a high-end, functional, and integrative passport office that specializes in individualized service and the optimization of complex passport and visa solutions. We are delighted to serve a big Spanish-speaking population in addition to English. We are dedicated to exceptional customer service, organization, and providing an upgraded, concierge-level client experience.
We are looking for a strong, proactive office manager to oversee daily operations, lead the administrative team, and ensure a smooth daily workflow while upholding the highest levels of professionalism and customer care.
Operations & Leadership
· Oversee day-to-day office operations to ensure efficiency, organization, and a high-quality client experience
· Enforce company policies, workflows, and standard operating procedures
· Act as the primary point of contact between the Chicago location, the Florida location, and ownership
· Ensure accurate documentation, CRM completion, FedEx, and compliance
· Experience examining legal documentation relating to birth, adoption, naturalization, and similar evidence reflecting eligibility for U.S. passports and identifying those that are spurious or warrant further scrutiny;
· Work with passport acceptance agents for DS-11 for sign and seal procedure
· Process passport applications: receive, review, scan, data entry, print, mail, and archive
· Operate office equipment: scanners, mailers, and CRM system
· Provide customer service: assist applicants at counters, schedule appointments, and provide information
· Quality assurance: verify application completeness, document compliance, and fee accuracy
· Administrative tasks: filing, data entry, cashiering, and receptionist duties
· Training and support: assist with agent training and maintain electronic records
· Resolve application discrepancies and undeliverable mail
· Generate correspondence and re-batch applications
· Assist with special projects as needed
Required Qualifications
· Fluent in Spanish and English (spoken and written; this is a plus but not mandatory)
· Minimum 3–4 years of experience as an office manager.
· 1+ years of experience with passports and Visas (MANDATORY)
· Strong leadership skills with the ability to manage and motivate staff
· Experience working with CRM systems (NOT MANDATORY)
· Highly organized, detail-oriented, and proactive
· Comfortable in a fast-paced, high-responsibility environment
· Strong communication, problem-solving, and decision-making skills
· This position requires the ability to work flexible hours, including participation in a rotational weekend schedule to support staff
