Job description

Penn National Insurance is currently hiring for a Team Leader, Administrative Services, who is responsible for the management of operations and supervision of assigned personnel within the area of Image Services and Mail Operations.  This is considered a working supervisor position and will direct Image Services and Mail Operations, ensuring the timely processing and quality controls that meet or exceed agreed upon client expectations.

 ESSENTIAL DUTIES AND RESPONSIBILITES

  • Conducts the hiring, performance development and management of staff personnel to ensure department is performing efficiently and accurately.
  • Develops and maintains an adequately trained and motivated staff through training, coaching, mentoring, directing and monitoring staff to ensure they have the technical expertise to perform their duties accurately and to ensure processing objectives are met.
  • Establishes and monitors quality control of workflows; develop solutions to resolve any quality control or workflow issues.
  • Identifies and reacts to day-to-day problems and responds to priorities in adjusting workflows, and the scheduling of staff overtime when handling fluctuating work volumes.
  • Monitors and directs assigned department operations to ensure accurate and timely handling of assigned departmental responsibilities. 
  • Actively works and completes processing of work as necessary. Handles own workload and performs backup for direct reports.

ADDITIONAL RESPONSIBILITIES

  • Oversee and monitor supplies, forms and envelopes ordering, restocking and acquisition of new and/or updated equipment.
  • Recommends changes as needed to policies and procedures.
  • Performs other duties as may be assigned by the Director, Vendor Management.

 SPECIAL RELATIONSHIPS 

  • Direct reports for this role include Administrative Services Clerk and Senior Administrative Services Clerk.
  • Interacts with all levels of the organization internally, as well as interaction with external entities, such as vendors and consultants.

QUALIFICATIONS

Education/Credentials

  • High School diploma required

Experience

  • Minimum of 2 years' experience in an office environment.   Experience supporting fleet administration or purchasing preferred.
  • Minimum of 3 years' experience in an Imaging Services and Mailroom Operations environment.
  • Prior supervisory experience preferred

Technical/Professional Knowledge

  • Judgment and problem-solving skills in handling personnel and work related issues. 
  • Experience with software programs such as Word and Excel.
  • Ability to operate mail handling software and equipment: insertion machines, mail metering equipment, postage scales, mail handling computer software, vendor provided software, letter openers and strapping equipment.
  • Knowledge of software applications used within the organization, i.e., Pyramid, CWS and Underwriting Systems.
  • Detailed knowledge of direct reports' duties. 
  • Strong organizational, negotiation, and interpersonal skills are required.
  • Displays self-motivation and ability to work independently. 
  • Oral and written communication skills required.

The compensation has been carefully determined by considering a variety of important factors, including skill sets, experience, training, and certifications. With these considerations in mind, the estimated hiring range is $52,312.51 - $71,929.00. Additionally, you may be eligible to participate in our annual incentive program, depending on your eligibility under the plan.

  • Must be able to access and enter information accurately using automated systems.
  • Must be able to communicate effectively with internal and external clients using telephone, electronic, or other communication systems. 
  • Must be able to interpret and apply concepts that may or may not be based upon established guidelines.
  • Must be able to maintain acceptable attendance and adhere to scheduled work hours.
  • Valid state driver's license, if assigned mail pickup responsibilities.
  • Must be able to travel locally, during business hours.
