Job description

The Procurement & Inventory Coordinator is responsible for managing the purchasing, receiving, and inventory of all food, beverage, and culinary supplies in support of the culinary and production teams. This role works as part of the Culinary Procurement Team, and specifically closely with the Menu Quantification Coordinator, to ensure ingredient quantities are properly ordered, received on time, and accurately tracked across storage locations.
The Procurement Coordinator helps maintain cost control, operational efficiency, and product quality by overseeing day-to-day procurement operations, monitoring inventory levels, and collaborating with vendors and internal teams. This position is essential for ensuring that all events run smoothly, with the right products available in the right amounts at the right time.
KEY RESPONSIBILITIES

Procurement & Ordering

  • Place orders for food, beverage, and culinary supplies based on quantified menus, inventory levels, and event schedules
  • Source specialty items and maintain strong vendor relationships
  • Track order confirmations, deliveries, and resolve any discrepancies with vendors

Inventory Management

  • Maintain accurate inventory records and par levels for multiple storage locations
  • Perform regular physical counts and reconcile variances with system records
  • Ensure proper storage, rotation, and handling of all ingredients and supplies

Collaboration with Quantification Coordinator

  • Partner with the Menu Quantification Coordinator to align purchasing with menu needs
  • Communicate adjustments or changes in ingredient requirements to procurement and production teams
  • Assist in translating menu quantities into actionable orders and inventory plans

Systems & Reporting

  • Maintain accurate data in inventory and procurement systems
  • Generate reports on stock levels, usage trends, and purchasing patterns
  • Support analysis for cost control, waste reduction, and menu planning

Compliance & Quality Control

  • Ensure all products meet quality, safety, and storage standards
  • Follow company SOPs for receiving, labeling, and documenting ingredients and supplies
