Position Summary
The Student Records Assistant is responsible for assisting the College's Student Records Office with general front office functions, including but not limited to processing various records requests, maintaining the accuracy of academic records for current and former students, responding to requests via telephone, email, and in-person. Performs additional office duties, including financial-related office functions.
Salary Schedule Placement: Appropriate placement on Salary Schedule E4 05 ($34,298 -$51,793) based on experience.
Essential Duties and Responsibilities
- Assists with processing functions in the Records office on both campuses.
- Performs inquiry and input of student information in the administrative software (Banner) system as required.
- Maintains front office and front desk requests from students, including processing major changes, withdrawal, change of address/information forms, etc., via in-person, telephone, virtual or email.
- Utilizes the document imaging system Banner Document Management (BDM) to organize and maintain student records.
- Maintains and monitors official transcript requests via the Parchment system.
- Supports the department and students by greeting students, faculty, employees, and visitors, directing them to the appropriate offices or persons, providing phone assistance to students, responding to routine inquiries and messages, and routing calls.
- Assists in the daily operation of the office by contributing to the development of procedures for the accurate and efficient maintenance of student records.
- Processes financial requisitions.
- Prepares travel documents for the staff in the department.
- Maintains the finance dashboard in coordination with the Registrar.
- Assists with processing schedule changes, withdrawals, major changes, etc.
- Serves on college committees as assigned.
- Performs other job-related duties as assigned by the Registrar or appropriate administrator.
The Student Records Office Assistant may be expected to work a flexible schedule, which may include day, evening, night, and weekend hours. Qualifications
- Bachelor's degree required.
- Experience working with a CRM (Banner, PeopleSoft), Microsoft Word, and Excel.
- At least two years of experience working in a high-volume, fast-paced area, student services, educational support service, or similar experience.

Sick Leave

Retirement
The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. Tuition Assistance
This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.
