General Summary:
The Program Specialist I position will report to the Associate Dean of Undergraduate Programs. This position will assist in the planning and execution of daily and administrative operations to the Undergraduate Associate Dean, faculty, staff, and student support. Other responsibilities include, but are not limited to: reviewing and evaluating prospective student and existing student transcripts; monitoring curriculum in degree plans; providing students with detailed information about university, state, and federal regulations; track and provide statistical data for various demographics of prospective and existing students; create, update, and maintain all advising training material; train and advise students on degree plans and the resources used by the university and college; maintain accurate degree plan files; and hire, train, and supervise student workers. The Program Specialist I will also coordinate study abroad trips and recruitment trips to various locations abroad and domestically. On-site support may be needed and required at times.
Responsibilities:
  • Coordinates administrative support functions. This includes, but not limited to, the Associate Dean of the Undergraduate Program, faculty, staff, and students. Plans and coordinates administrative activities and services.
  • Supervises assigned staff, plans work and determines work priorities.
  • Develops administrative objectives and strategies for, but are not limited to, the COB Undergraduate Programs.
  • Coordinates prospective student communication plan and management of online students.
  • Creates, manages, analyzes, evaluates, and reviews documents for students, faculty, and staff. Includes creating, updating, and maintaining advising material for on-campus and online students. Also provides advising support for all College of Business Undergraduate students.
  • Creates, develops, and manages the Online Undergraduate Program initiatives:
  • Performs special analyses and project summaries.
  • Creates and maintains database systems to provide informative (statistical, report updates, etc.) support to Administration about recommendations for program modifications, course offerings, and other curriculums.
  • Using independent discretion to create and/or manage technical support for student training, on-campus and online student initiatives, and programs.
  • Serves as the communication facilitator for COB Undergraduate Program students and prospective students.
  • Assist with in-person visits and tours as needed.
  • Recruitment, Scholarships, Marketing, and special projects coordination as needed.
  • Creating new student recruitment initiatives that include planning, implementing, and providing on-site support.
  • Manage recruitment trips to various locations abroad and domestically, organizing and managing student events and support activities.
  • Identifies, determines, and coordinates scholarship needs for COB Undergraduate Program students.
  • Creates, coordinates, manages, and implements marketing logistics for the Undergraduate Business Program.
  • Manages other special projects such as, but not limited to, Graduation Reception, Training events, Open House events.
  • Provides support for College of Business Student Symposium, College of Business New Student Orientation and Transfer Student Orientation, as well as Discover WT and Destination WT.
  • Manages good-will initiatives among stakeholders.
  • Answer telephone.
  • Maintains 100% compliance with timely completion of required System, University and job-specific online training courses.

Necessary Qualifications:
  • Bachelor's degree or equivalent combination of education and experience.
  • Working knowledge of Microsoft products relating to student service.
  • Word processing, spreadsheet, database, and presentation applications.
  • Ability to work on multiple projects simultaneously and proven ability to work in a team environment.
  • Proven verbal and written communication skills are essential, as is the ability to work effectively with various groups across the campus community.
  • Ability to handle multiple projects with numerous deadlines and the initiative to assume new tasks or projects.
  • Excellent communication and organization skills.
  • Ability to professionally represent the College of Business and the Undergraduate Business Program.

Preferred Qualifications:
  • Master's degree
  • Working in a collegiate student service position or closely related experience.
  • Fluent in reading, writing, and orally conversing in Spanish.
  • Knowledge of Ellucian products, such as Colleague, Student Self Service, as well as Perceptive Content and Informer reporting.
  • Academic knowledge of degree programs, as well as Texas and Federal requirements.
