Vertex Education is seeking a detail-oriented and highly organized PIMS Specialist to join our Compliance & PIMS Team. This role is responsible for supporting the management, validation, maintenance, and submission of data related to the Pennsylvania Information Management System (PIMS).

The ideal candidate thrives in a deadline-driven environment, enjoys working with data, and communicates effectively with both internal teams and school partners. This position plays a critical role in ensuring accurate state reporting and supporting compliance operations across client schools.

KEY RESPONSIBILITIES:

1. PIMS Reporting:

  • Serve as the school's primary support system for PIMS reporting, timely submission of required state data collections.

  • Ensure all state and internal reporting deadlines are met accurately and on time.

  • Review and audit data submissions for completeness, accuracy, and consistency.

  • Prepare, validate, extract and submit data for state-mandated reporting.

  • Provide end-user support and training for staff using school systems, troubleshoot application and reporting issues, communicate with PDE Support when needed.

2. District Billing:

  • Manage out-of-district students in our proprietary system, VSIMS, keeping data current based on School data.

  • Prepare monthly invoices for schools, send to districts and PDE, if applicable.

3. Data Management & Analysis:

  • Develop and improve processes, workflows, and tools related to data management and reporting.

  • Maintain documentation related to reporting procedures and data standards.

  • Utilize Excel and other systems to analyze and validate data sets.

4. Client & Team Collaboration:

  • Communicate effectively with internal team members and school partners regarding deadlines, requirements, and reporting updates.

  • Provide support to the PIMS & Compliance Team across various projects and initiatives.

  • Explain education data definitions, reporting requirements, and submission procedures clearly and professionally.

  • Keep Asana up to date with project status for PIMS as needed.

KNOWLEDGE, SKILLS & ABILITIES:

Required Skills & Experience:

  • Strong attention to detail and commitment to data accuracy.

  • Ability to manage multiple priorities and meet established deadlines.

  • Strong organizational and problem-solving skills.

  • Proficiency in Microsoft Excel, including:

    • VLOOKUP/XLOOKUP.

    • Conditional Formatting.

    • Filtering and sorting large data sets.

  • Effective written and verbal communication skills.

  • Ability to adapt in a fast-paced environment and handle interruptions professionally.

Preferred Qualifications:

  • Experience with educational data systems or compliance reporting preferred.

  • Familiarity with Pennsylvania education reporting systems or PIMS is a plus.

  • Associate's or Bachelor's degree in Education, Business, Data Management, or related field preferred.

Training:

  • No prior PIMS experience required; training will be provided for candidates with strong technical aptitude and attention to detail.
