Posting Summary
Rutgers, The State University of New Jersey is seeking an Assistant - Parts Inventory Management System for the Advanced Infrastructure Center. The candidate will solely be assigned to the Parts Inventory Management System (PiMS) project under the direction of Yeganeh Hayeri, PhD, which supports the modernization and improvement of procurement, inventory tracking, and parts management operations within transportation and maintenance environments.
Among the key duties of this position are the following:
  • Creates, processes, manages, and tracks purchase orders, requisitions, vendor quotes, and procurement activities.
  • Maintains procurement records within systems while ensuring documentation accuracy, compliance, and coordination with internal stakeholders.
  • Monitors inventory availability, expedite delayed orders, coordinate with vendors, address procurement issues.
  • Participates in pre-bid conferences, facility walkthroughs, site visits, and vendor engagement activities.
  • Supports project coordination and presentations related to infrastructure and maintenance initiatives.

Qualifications
Minimum Education and Experience
  • Bachelor's degree in a related field, or an equivalent combination of education and/or experience.

Certifications/Licenses

  • Strong organizational skills with the ability to manage and track multiple purchase orders, requisitions, and procurement activities simultaneously.
  • Ability to maintain accurate documentation and records within procurement tracking systems and databases.
  • Strong written and verbal communication skills for interacting with vendors, contractors, project managers, and internal stakeholders.
  • Ability to analyze vendor quotes, monitor delivery timelines, and follow up on procurement-related issues.
  • Detail-oriented with strong problem-solving and follow-up skills, particularly in resolving delayed orders and inventory shortages.
  • Ability to work collaboratively in a fast-paced operational and project-based environment.
  • Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.

Preferred Qualifications
  • Understanding of procurement processes, purchasing procedures, or contract administration practices.
  • Familiarity with documentation management systems/procurement tracking platforms.
