Job description

Overview

The Carlile Group CG is a multidisciplinary practice dedicated to creating, enhancing, and maintaining the built environment. We provide capital market solutions for physical plant managers and building owners across the civic, institutional, commercial and industrial market sectors primarily for public entities. Our mission is to ensure that every structure we touch is safe, functional, and aesthetically resonant. At CG, we provide expert building services while building lasting professional relationships.


We have an immediate need for a full-time Manager of Operations & Finance to join our growing team. The selected candidate will be afforded a broad role supporting the Firm’s day-to-day financial and operational management under the direction of the Firm’s Managing Principal (MP). The role will also drive the development and implementation of policies, procedures, and processes related to our delivery of services – ensuring workflows are integrated, consistent and efficient.


Additionally, this position will oversee and implement management of accounts payable / receivables, prepare financial reports and forecasts, procure materials and supplies, and coordinate with external legal and accounting advisors. As the Firm continues to expand, this role will play a vital part in strengthening and refining the Finance and Operations infrastructure supporting the organization. The ideal candidate will thus be organized, adaptable and proactive, and have the strong desire to help improve the operational foundation and long-term effectiveness of a dynamic professional services firm.


Compensation and Benefits

  • Salary: Anticipated annual salary of $65,000 - $85,000, commensurate with qualifications and relevant experience.

Responsibilities

The following items are representative of the general duties associated with this role. Other tasks may be assigned, based on the needs of the Firm.


Finance & Accounting

  • Prepare and evaluate financial reporting (including profitability, key operational metrics and cash flow analysis).
  • Oversee day-to-day accounting operations (e.g., payables, receivables, invoicing, collections and related reporting activities).
  • Support budgeting, forecasting, financial planning and working capital management initiatives.
  • Coordinate monthly and year-end financial close processes, and work with external accounting and tax advisors, as needed.
  • Help maintain sound financial controls, reporting accuracy and operational compliance across the Firm.
  • Support project tracking, time and expense reporting and related operational analysis.


HR & Payroll

  • Support employee onboarding, offboarding, payroll, benefits administration and related personnel processes.
  • Maintain employee records, organizational documentation and HR-related reporting.
  • Coordinate with leadership on hiring, staffing and organizational planning needs.
  • Ensure payroll, employee withholdings and benefit-related activities are processed accurately and timely.
  • Assist with employee communications, policy administration and other people-related operational initiatives.


Office Operations

  • Work directly with the MP and Firm leadership to support operational effectiveness, organizational alignment and scalable internal processes.
  • Develop and refine workflows, procedures and operational practices to improve efficiency, accountability and consistency across the organization.
  • Coordinate office operations, vendor relationships and administrative support activities.
  • Help identify operational pressure points and implement practical process improvements to support the Firm’s continued growth.
  • Collaborate across departments to help ensure internal and external deliverables are executed effectively and consistently.


Education and Experience

Qualified candidates will hold a bachelor’s or master’s degree in Operation Management, Finance or Accounting and possess 5+ years’ experience in similar roles within a professional services environment. Experience within architectural, construction, property management, or similar related industries is a plus. A motivation to quickly learn the Firm’s business workflows and immediately engage in broad operational oversight and improvements is critical.
