Job description

Office Manager

Department: Construction/CEI

Employment Type: Full Time

Location: Pensacola, FL

Compensation: $24.00 - $27.00 / hour

Description

Be the heartbeat of our office.

DRMP is looking for a proactive, organized, and people-focused Office Manager to lead the day-to-day operations of our local office and help create an environment where our teams can do their best work.

As the local office’s primary point of contact, you’ll play a critical role in keeping operations running smoothly—from managing the office environment and coordinating vendors to supporting employees, welcoming clients, and partnering with teams across DRMP.

This is an opportunity for someone who enjoys variety, ownership, and working with people. You’ll have the autonomy to anticipate needs, solve problems, improve processes, and make a visible impact on the employee and client experience.

Your Primary Responsibilities will include

Lead Office Operations

  • Oversee daily office operations, ensuring a professional, organized, safe, and welcoming environment.
  • Manage office supplies, equipment, vendors, maintenance, repairs, and building services.
  • Manage the local office budget, expenses, and purchasing.
  • Partner with Information Systems and other corporate teams to resolve office and technology needs.
  • Maintain physical and digital office records and support safety, security, and emergency preparedness.

Support Our People & Teams

  • Serve as the local connection between the office, corporate headquarters, and other DRMP locations.
  • Provide administrative support to professional and leadership staff, including document preparation, editing, scheduling, and filing.
  • Coordinate travel arrangements, expense reports, meetings, conference rooms, and calendars.
  • Support onboarding and other basic HR activities in partnership with Human Resources.
  • Help create a positive office culture by coordinating employee engagement activities and local events.

Deliver Exceptional Client Experience

  • Serve as the first point of contact for clients, visitors, and guests.
  • Coordinate client visits, meetings, and office logistics.
  • Respond to inquiries professionally and ensure guests receive a welcoming experience.
  • Prepare fee proposals and scopes of work and provide administrative support for business development activities.
  • Coordinate staff registrations for civic and industry events in partnership with Marketing.

Be a Problem Solver

  • Anticipate office and staff needs before they become issues.
  • Identify opportunities to improve administrative processes and office efficiency.
  • Work independently while collaborating with corporate teams across HR, Finance & Accounting, Marketing, Legal, Compliance, and Information Systems.
  • Provide support to additional DRMP offices as needed.
What you'll need
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Proficiency with Microsoft Word, Excel, and Outlook.
  • Basic knowledge of accounting and expense management.
  • Strong problem-solving skills and a proactive, service-oriented mindset.
  • Ability to work independently, exercise sound judgment, and take ownership of responsibilities.
  • Professionalism and confidence interacting with employees, leadership, clients, vendors, and visitors.
  • Ability to identify needs, resolve issues, and continuously improve processes.
  • Valid driver’s license with an acceptable driving history.

What Success Looks Like

In this role, success means the office runs smoothly, employees have the support they need, clients and visitors receive exceptional experience, and administrative needs are handled proactively and efficiently.

If you’re someone who naturally takes ownership, enjoys helping people, and thrives in a fast-paced environment where no two days are exactly alike, we’d love to meet you.

  • Excellent compensation package
  • Outstanding holiday and paid-time-off programs
  • 401(k) Plan and Match
