Job description

Job Title –Litigation Secretary
Location – Los Angeles, CA.
Full Time, Hybrid On-site 3 Days Per Week
Salary Range; $100k-120k, DOE
Job Summary of the Litigation Secretary position
Integr8staff is seeking a Litigation Practice Coordinator/ Litigation Secretary to support lawyers within the litigation disputes practice. This is an exciting and dynamic role to continue developing core litigation skillsets while working closely with a highly regarded group of lawyers in a collaborative environment.
Responsibilities of the Litigation Secretary position
Support daily administrative operations of the practice, by keeping matters running smoothly and enabling lawyers to deliver quality client service.
Deliver document production, including formatting, editing, and finalizing correspondence, memoranda, briefs, motions, and pleadings.
Proofread documents for accuracy, grammar, and formatting.
E-file with various courts and remain up to date on format, filing requirements and deadlines.
Calendar and monitor case and matter deadlines, alerting lawyers or the docketing team as needed.
Manage new clients/matters, including facilitating conflict checks, completing new matter forms, and preparing engagement letters.
Oversee pre-bills for submission to the billing department and research outstanding invoices and payments as needed.
Manage client and matter files and ensure compliance with firm protocols.
Inform courts, agencies, other counsel, and clients and relay information.
Schedule and manage meetings, calls, and logistics for attorneys and clients.
Process, reconcile invoices and manage reimbursements.
Manage travel arrangements and assist with attorney time entry as needed.
Support the firm and peers with overflow work and provide backup support, as requested.
Train, assist, and provide orientation for new and less experienced members of staff.
Requirements of the Litigation Secretary position
BA degree preferred; high school diploma is required
At least 5 years’ experience performing legal administrative duties in a law firm or professional service organization.
Litigation experience required.
Proficiency in litigation calendaring and software, Milana preferred
Able to anticipate needs, confirm next steps, and proactively identify and resolve issues.
Skilled in the Microsoft Office suite, and able to learn and adapt to new technologies.
Proven capable to work independently or collaboratively, while effectively prioritizing workload and ad‑hoc demands.
Exercises confidentiality and discretion.
Strong interpersonal and relationship‑building abilities
Excellent verbal and written communication skills
