JOB DESCRIPTION


Our client, a highly respected, nationally recognized law firm, is seeking an experienced Legal Secretary to support its Louisville team. This position offers an opportunity to join a collaborative legal team and provide comprehensive administrative, clerical, and litigation support to attorneys and legal professionals.



Key Responsibilities

  • Prepare, draft, edit, revise, and format legal documents, including briefs, pleadings, motions, correspondence, memoranda, reports, and other legal materials.
  • Manage the submission, filing, and processing of legal documents in state and federal courts, including electronic filing (e-filing) through applicable court systems.
  • Review, proofread, and quality-check legal documents to ensure accuracy, consistency, completeness, and compliance prior to distribution, submission, or court filing.
  • Maintain, organize, update, and manage physical and electronic client files, records, and case materials.
  • Coordinate attorney schedules, maintain calendars, arrange meetings, track deadlines, manage court dates, and schedule appointments utilizing Outlook and Milana.
  • Arrange, coordinate, and oversee business travel, lodging, transportation, and related logistics for assigned attorneys.
  • Enter, review, audit, and revise attorney time entries and timesheets, ensuring proper coding, billing classifications, and litigation-related task codes when applicable.
  • Prepare, process, and reconcile attorney expense reports, reimbursements, mileage submissions, and related documentation.
  • Provide professional, courteous, and responsive telephone support while serving as a primary point of contact for attorneys, clients, courts, vendors, and other stakeholders.
  • Assist with front desk coverage and receptionist responsibilities as needed.
  • Review, verify, and process vendor invoices, payment requests, check requisitions, and billing documentation while ensuring timely submission to accounting departments or clients.
  • Support billing functions through the preparation, review, editing, and submission of pre-bills, client invoices, and related billing materials.
  • Coordinate and manage administrative workflows, document production, and day-to-day operational support within the litigation practice.



Qualifications


  • High school diploma or equivalent required; associate's degree, bachelor's degree, or additional post-secondary education preferred.
  • Minimum of five years of experience working as a Legal Secretary, Litigation Secretary, Legal Administrative Assistant, or Legal Support Professional within a law firm environment.
  • Proficiency with legal research, case management, and litigation support platforms, including LexisNexis, PACER, ECF, Aderant Milana, and Concur.
  • Strong understanding of legal terminology, litigation procedures, court rules, legal documentation, and case management processes.
  • Demonstrated ability to prepare, generate, edit, and manage Tables of Contents, Tables of Authorities, indexes, and other complex legal document components.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Experience utilizing document management systems, timekeeping software, database applications, e-filing platforms, and legal technology tools.
  • Excellent written and verbal communication skills with exceptional attention to detail, organization, accuracy, and follow-through.
  • Ability to prioritize competing deadlines, manage multiple assignments simultaneously, and perform effectively in a fast-paced legal environment.
  • Strong interpersonal skills and a commitment to providing high-quality administrative and legal support services.
