Position Summary
The Legal Operations Supervisor plays a crucial role in enhancing efficiency across GOLDLAW's legal practice. This role assists the Legal Operations Manager in overseeing the day-to-day legal operations, all legal staff (Pre-Suit and Litigation), ensuring efficiency, compliance, and effective support. The supervisor acts as a bridge between the Manager and team, ensuring timely case management, compliance, and effective communication. The ideal candidate has strong leadership skills, legal operations skills, a deep understanding of personal injury case lifecycles, and a passion for streamlining operational processes. The role also serves as a backup floater, providing support to other departments as needed.
JOB DUTIES:
  • Support the Legal Operations Manager with a variety of administrative and operational projects aimed at improving the firm's efficiency.
  • Coordinate team-building and bonding activities, draft and maintain Standard Operating Procedures (SOPs), and assist with journal-related tasks as directed by the Legal Operations Manager.
  • Serve as a backup floater, providing support to the departments as needed.
  • Prepare and deliver monthly Statutes of Limitation reports to the Chief Legal Officer (CLO) on behalf of the Legal Operations Manager.
  • Conduct case audits for both Pre-Suit and Litigation.
  • Coordinate all referrals and liens.
  • Assist in developing training and implementing firm-wide procedures, templates, and best practices. This includes updating team protocols and providing training for all legal staff, supporting additional training sessions as needed, and leading our Jury Selection team.
  • Coordinate with attorneys, paralegals, and administrative staff to resolve workflow and operational issues efficiently. This role also includes supporting the review and approval of legal staff's PTO requests and ensuring accurate time and labor management.
  • Generate reports on case volume, productivity, and performance metrics to support management review. Compile incentive reports to track and evaluate team performance.
  • Oversee vendor relationships, including medical record providers and investigators, ensuring smooth and effective collaboration. This role also involves maintaining and updating the approved mediator and vendor list for the Chief Legal Officer (CLO).
  • Assist in budget tracking, ensure billing consistency, and support expense reporting for the Legal Operations Manager. This includes submitting purchase receipts and reimbursement requests to Finance on behalf of the Legal Operations Manager.
  • Assist with evaluating and training new legal team members in firm policies and case management systems. This includes coordinating performance reviews with attorneys and the Legal Operations Manager, ensuring staff are informed of new policies and addressing any related issues during team meetings.
  • Ensure compliance with firm policies and maintain confidentiality standards. This includes keeping litigation packets up to date.

Requirements
Required Experience:
  • Leadership and Management Experience
  • Drafting Complaints, Demands, Discovery, Initial Disclosures, Motions, Scheduling Hearings/Depositions/Mediations, Trial Preparation, Subpoenas, Witnesses and Exhibit Lists, Expert Retention, Medical Records/Bills/Lien Requests, 119 requests, etc.

Education:
  • Bachelor's degree in paralegal studies, Legal Studies, or related field (or equivalent work experience). Paralegal Certification or
  • AA Degree in Paralegal Studies and a minimum of 7-10 + years of experience in personal injury law, with specific experience in managing Litigation processes and handling personal injury claims.

SKILLS & ABILITIES
  • Strong analytical and problem-solving skills.
  • Proficiency in Excel, Power BI, Tableau, or other reporting software.
  • Familiarity with legal operations or law firm metrics.
  • Excellent attention to detail and organization.
  • Experience managing cases involving medical malpractice, nursing home abuse, trucking accidents, and negligent security.
  • Strong knowledge of state and federal court procedures and rules.
  • Excellent written & verbal communication skills and a high level of attention to detail.

WORK ENVIRONMENT:
This job operates in a professional office setting as well as working out in the field with the public at events. This role routinely uses standard office equipment. Manual dexterity, physical mobility, and some physical strength/stamina.
