What You'll Get To Do:
The Legal Operations Analyst supports the Legal Operations function by managing data, systems, reporting, and day-to-day operational activities that enable the Legal Department to operate efficiently and effectively. This role is hands on and execution focused, providing analytical, administrative, and technology support while partnering closely with Legal Operations leadership on process improvement and system optimization initiatives.
Data and Reporting
  • Maintain and update dashboards tracking key legal metrics, including matter volume, cycle times, contract turnaround, outside counsel spend, and team capacity.
  • Pull, validate, and analyze data from legal technology platforms to support monthly, quarterly, and ad-hoc reporting requests.
  • Identify trends, patterns, and anomalies in legal department data and surface actionable insights to Legal Operations leadership.
  • Support budget tracking and financial reporting, including invoice reconciliation, spend analysis, and basic forecasting support.
  • Create visualizations, summaries, and presentations to communicate data findings to legal leadership and business stakeholders.

Outside Counsel and Billing Coordination
  • Serve as a super-user for legal technology platforms such as contract lifecycle management, matter management, e-signature tools, document repositories, and intake systems.
  • Perform hands-on administration of legal tools, including data validation, user issue resolution, and routine system maintenance.
  • Manage user access, onboarding, permissions, and troubleshooting across legal systems.
  • Review of invoices for accuracy and compliance with Outside Counsel Billing Guidelines and approved engagement terms
  • Route invoices for attorney and business approval and track invoice status through payment
  • Coordinate directly with law firms to resolve billing discrepancies, compliance issues, and resubmissions
  • Ensure all required onboarding and engagement documentation is complete before work begins
  • Maintain data integrity through audits, cleanup initiatives, and quality checks.

Process Improvement Support
  • Own and maintain the Legal Operations Playbook, ensuring documentation related to Legal Operations processes remains accurate, current, and complete, including:
    • Core processes and workflows
    • System configurations and usage guidelines
    • Standard operating procedures (SOPs)
  • Document existing and new Legal Operations processes with a focus on clarity, consistency, and operational accuracy
  • Act as the gatekeeper for process documentation, ensuring updates are made promptly as workflows, systems, or requirements evolve
  • Proactively gather input from Legal Operations stakeholders to keep documentation aligned with how processes are executed in practice
  • Partner with Legal Operations leadership to ensure documented processes are standardized, approved, and clearly communicated
  • Support audit readiness by maintaining organized, up to date documentation supporting billing, vendor, and system processes
  • Assist in the creation of user guides, checklists, and reference materials to support Legal Operations execution and compliance

Legal Operations Support
  • Respond to routine operational and system-related questions from legal team Manage the Legal Operations and billing mailbox to ensure requests are received, tracked, and routed appropriately
  • Track open requests, follow up on outstanding items, and ensure timely resolution with vendors and internal stakeholders
  • Serve as a primary point of contact for outside counsel regarding:
    • Billing questions
    • Invoice issues or resubmissions
    • Onboarding and engagement related inquiries
    • members and business partners.
  • Support matter intake and request triage, ensuring accurate data capture and routing.
  • Assist with vendor management activities, including onboarding, performance tracking, and invoice processing support.
  • Coordinate cross-functional initiatives and projects as assigned by the Legal Operations lead.
  • Provide administrative and logistical support for legal operations programs, training sessions, and initiatives.

Qualifications
What You'll Bring
Required:
  • Bachelor's degree preferred (Business, Legal Studies, Operations, Finance, Technology, or related field).
  • 2-4 years of experience in legal operations, operations analytics, system administration, or process support.
  • Exposure to legal department tools (ServiceNow, BrightFlag, Luminance or other management and intake systems) preferred.
  • Experience in a corporate or professional services environment preferred.
