JOB DESCRIPTION

Alston & Bird is conducting a search for, known internally as, a New Business Intake Analyst. The New Business Intake Analyst, under the direction and supervision of the New Business Intake Manager, performs a variety of departmental duties including conflict of interest searches, research, preparation of conflict reports, prepare documents for storage and other related memoranda; data verification and data entry of client/matter information in Aderant, Intapp NBI Workflow and any other software systems developed to open new client/matters and assign client/matter numbers.

ESSENTIAL DUTIES

  • Perform conflicts of interest searches for new clients, matters, and laterals upon request.

  • Conduct detailed, extensive research from multiple sources; analyze the corporate business structure and history of potential clients and adversaries.

  • Process non-financial client and matter information change requests in compliance with firm policies.

  • Perform database research to facilitate processing of change requests.

  • Test and review new software systems.

  • Maintain or update workflow, form, and notification design templates in intake software.

  • Perform routine quality checks of data management: client, matter, parties and black book conflicts data.

  • Build, maintain and deliver a professional customer service attitude and relationship with all internal and external customers.

  • Verify uniqueness of client information and eliminate duplicates.

  • Assist other departments regarding inquiries for client/ matter data reports.

  • Make efficient use of time to handle workload.

  • Maintain the characteristics of a Top Echelon employee.

  • Perform other related Conflicts Department duties as required by Manager.

  • Aid with special projects.

SKILLS NEEDED TO BE SUCCESSFUL

  • Conflicts analysis expertise with the ability to conduct thorough and accurate conflicts searches using legal databases.

  • Advanced research, critical thinking analytical skills.

  • Strong interpersonal skills, including strong oral communication skills and the ability to communicate potentially detailed and complex information to personnel at all levels.

  • Excellent written communication skills and the ability to draft and execute complex communications including policies and procedures, instructional documents.

  • Working knowledge of ethical, legal, and risk management rules and requirements governing conflicts of interest and conflicts resolution process.

  • Detail oriented to ensure high levels of accuracy in data entry, document review, and identifying relevant conflicts.

  • Ability to multitask and manage multiple complex projects and deadlines.

  • Capable of executing priorities in a high-pressure environment.

  • Adapt to change in processes at any given time.

  • Self-starter with the ability to work independently with minimal supervision and takes the initiative to identify, analyze and resolve false positives without constant oversight.

  • Strong service orientation, and an ability to establish and maintain effective working relationships with internal customers, peers, office and firm management, and outside business partners.

EDUCATION & EXPERIENCE

  • Prior experience utilizing automated intake workflow system required.

  • Prior new business intake or conflicts experience in a law firm environment required.

  • Bachelor's degree or higher preferred.

The salary range for this role is $75,000 - $85,000 annually, which is based on a 37.5-hour work week. This range is only applicable for jobs to be performed in Chicago, IL. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, and business or organizational needs.
