Job description

Position Summary:

Samsung SDS is a global leader in logistics, powered by innovative IT solutions such as our integrated "Cello" platform. The Legal & Compliance Coordinator will provide essential day-to-day administrative and operational support to the Legal & Compliance team, including invoice processing, budget coordination, recordkeeping, compliance tracking, and document management to support ongoing Smart Logistics (SL) operations.

This role serves as the central point of coordination for administrative activities within the Legal & Compliance function. Responsibilities include processing vendor payments, maintaining organized and audit-ready filing systems, tracking licenses and regulatory deadlines, and helping ensure that required corporate documentation and compliance obligations remain current to prevent lapses. 

This is not a legal advisory role. This position is execution-focused and serves as the administrative backbone of the Legal & Compliance team through timely, accurate, and organized handling of records, systems, and operational processes in accordance with internal controls.

The position reports to the Head of SL Legal and requires a strong work ethic, a positive and professional attitude, efficiency, excellent customer service, and exceptional attention to detail.

Key Responsibilities: 

  • Support daily administrative operations, including scheduling meetings, correspondence, and document organization
  • Process invoices, support budgeting, and conduct vendor registration and onboarding
  • Ensure all legal and compliance-related documents are current and readily accessible
  • Ensure proper storage of documents, naming conventions, and version control
  • Maintain organized filing systems for contracts, compliance records, and regulatory documentation
  • Manage legal and compliance-related platforms and internal systems
  • Coordinate with brokers, vendors, and internal stakeholders to obtain and maintain updated documentation
  • Monitor renewal and expiration dates and proactively coordinate timely renewals
  • Maintain tracking systems for all business licenses, permits, registrations, certifications, and other compliance-related documentation
  • Support internal reporting and administrative projects as assigned
  • Perform other duties as assigned

Requirements

Requirements/Qualifications:

  • College degree or equivalent work experience
  • Minimum of 2-3 years of experience as an administrative assistant or coordinator, preferably in a corporate setting
  • Ability to prioritize numerous projects under deadline pressure and work extended hours as required
  • Well-organized and detail-oriented with an outstanding work ethic and customer-oriented attitude
  • Experience with document management, invoice processing, and compliance tracking
  • Strong administrative, interpersonal, verbal, and written communication skills
  • High energy, fast learner, flexible, and able to execute in a fast-paced, very diverse environment
  • Ability to work both independently and collaboratively as part of a team
  • Ability to work across time zones and cultures with cross-functional stakeholders
  • Proficient with software including Microsoft Office Suite (Word, PowerPoint, Excel); and ability to conduct internet research and learn to use internal contract management tools such as Cello, our integrated logistics platform
  • Experience in the logistics and supply chain industry is a plus
