Job Description:
Join us as a Legal Assistant and become an essential part of a fast-paced legal team that values organization, accuracy, and proactive problem-solving. In this role, you will help ensure that case files, court records, deadlines, and legal matters remain organized, compliant, and up to date. Your work will directly support the firm's operational efficiency by maintaining accurate records, tracking deadlines, and ensuring critical information is properly documented and accessible. This is an excellent opportunity for someone with a legal background who enjoys structured processes, pays close attention to detail, and takes pride in keeping legal operations running smoothly.
  • Monthly Compensation Range: from $1,150 USD to $1,220 USD.

Responsibilities include, but are not limited to:
  • Maintain confidentiality and professionalism when handling legal information.
  • Provide administrative support to attorneys and legal staff.
  • Prepare and maintain reports identifying deadlines and action items due within the next 30 days.
  • Verify that court filed documents are saved within the firm's internal file systems.
  • Review court websites and compare court data with internal calendars to ensure deadlines and court appearances are accurately tracked.
  • Log and associate incoming emails and phone calls with the appropriate matter in Clio.
  • Verify that file names are accurate, consistent, and saved in the correct folders.
  • Help identify discrepancies, missing information, or process issues and recommend solutions.
  • Assist with additional executive or personal assistant related tasks when required.
  • Support matter management activities and maintain accurate legal records.
  • Update deadlines, court information, and matter details within the firm's database.
  • Audit case files to ensure information is complete, organized, and compliant with internal standards.
  • Utilize AI supported tools and documented procedures to determine proper document storage and naming conventions.
  • Organize and review case files weekly to ensure documents are properly stored according to firm procedures.
