Job description

A leading investment firm with a reputation for excellence and innovation seeks a highly detailed and organized Executive Assistant to support their legal/compliance team out of their Midtown Manhattan office. 

**Qualified candidates will have 5-10 years of experience as an Administrative Assistant supporting a team in asset management or a top 100 law firm**

Key Responsibilities:

  • Administrative Support: Provide high-level administrative support to the legal team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Document Management: Prepare, review, and manage legal documents and correspondence. Ensure all documents are organized and filed correctly, and assist with document retrieval as needed.
  • Communication: Act as a liaison between the legal team and internal/external stakeholders. Handle phone calls, emails, and other communications with professionalism and discretion.
  • Meeting Coordination: Organize and prepare for meetings, including drafting agendas, preparing materials, and taking minutes. Ensure all necessary follow-up actions are completed.
  • Research & Compliance: Assist with legal research and compliance tasks as needed. Stay informed about relevant legal updates and regulatory changes.
  • Project Management: Support various projects and initiatives undertaken by the legal team. Track progress and ensure timely completion of tasks and deliverables.

Qualifications:

  • Bachelor’s degree required 
  • 5-10 years of administrative experience in an asset manager or top 100 law firm 
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal document management software.
  • Ability to handle sensitive information with discretion.
  • High attention to detail and accuracy.
