Job description

Position Summary:
The LOA Specialist is responsible for the end-to-end administration of employee leaves of absence, ensuring strict compliance with federal, state (particularly California), and local regulations. The primary focus will be LOA processing, but this role also supports benefits billing and other benefits-related administrative functions. The Specialist will deliver outstanding customer service and collaborate closely with Employee Relations, Payroll, and other internal partners. This is a sedentary position, with most interactions conducted online.
Key Responsibilities:
  • Administer all types of leaves of absence, including FMLA, ADA, California-specific leaves (CFRA, PDL, SDI, etc.), and company policy leaves.
  • Ensure LOA compliance by monitoring legislative changes, updating internal processes, and maintaining accurate documentation.
  • Provide timely, empathetic, and clear support to employees requesting or managing leaves.
  • Maintain and update LOA records and ensure seamless integration with benefits billing processes.
  • Assist in benefits billing administration, including tracking premiums during leaves, reconciling invoices, and supporting audits as needed.
  • Collaborate effectively with Employee Relations and Payroll teams to ensure accurate pay and benefits continuity during leaves.
  • Educate employees and managers on LOA policies, procedures, and rights, including California-specific mandates.
  • Utilize intermediate-level Excel skills for tracking, payroll reporting, and reconciling LOA and benefits data.
  • Contribute to ongoing improvement of LOA processes and documentation.
  • Participate in training and development opportunities to expand LOA knowledge; stay current on best practices and compliance requirements.
  • Support other benefits-related administrative functions as needed.

Qualifications:
  • 3-5 years of experience in LOA administration, benefits administration, or a related HR function.
  • Demonstrated knowledge of federal and California LOA laws and regulations (e.g., FMLA, CFRA, ADA, PDL, SDI).
  • Intermediate proficiency in Microsoft Excel (e.g., formulas, pivot tables, reporting).
  • Excellent customer service skills, with a patient and empathetic approach.
  • Strong attention to detail and organizational skills.
  • Proven ability to work collaboratively with cross-functional teams (Employee Relations, Payroll, etc.).
  • Ability and desire to continuously learn and stay updated on LOA compliance and best practices.
  • Experience in benefits billing and administration highly preferred.
  • LOA-related certifications (e.g., CLMS, CPDM, FMLA certification) are a plus.

Physical Requirements & Work Environment:
  • Sedentary work; primarily online interactions.
  • Regular use of computer and office equipment.

Compensation:
Compensation Range: $65,000 - $75,000
Actual annual salary offered to a candidate will be based on a number of variables including work experience, education and skills/ achievements, and will be mutually agreed upon at the time of offer. This position is not eligible for a variable pay component as part of the hiring range.
