Job description

POSITION SUMMARY: The Jr. Procurement Warehouse Coordinator is responsible for managing goods,maintaining accurate inventory, and supporting the purchasing process within the organization.

Essential Functions

Warehouse Operations:

  • Manage the shipment and receipt of all products, materials, and supplies in the Warehouse.
  • Accept and document packages and deliveries made to the facility.
  • Unload and unpack shipments of products.
  • Inspect shipments for damage and correct quantities, report damages or shortages to the appropriate person.
  • Match shipments to their associated purchase orders and enter receiving data on paperwork.
  • Record receiving data in Coupa.
  • Prepare and organize received stock for inventory.
  • Spot-check and count inventory on a periodic basis.
  • Monitor inventory and stock levels, and report discrepancies or shortages to Management.
  • Conduct monthly supplies and equipment inventories.
  • Prepare items for return shipping or redistribution to clinic sites, noting item contents, delivery methods, and other logistical details.
  • Ensure the warehouse is clean, neat, and hazard-free at all times.
Inventory Management:
  • Maintain proper storage and inventory accuracy of materials and supplies.
  • Fulfill supply requests from sites and/or the Purchasing Department.
  • Occasionally assist with maintaining a Purchase Order system with linkage to accounts payable.
  • Process returns and ensure accurate account credit.
  • Ensure all supply-related paperwork flows from sites to account for orders, and invoices are processed in a timely manner.
Administrative and Support Duties:
  • Assist Facilities Manager with various facilities-related duties.
  • Manage miscellaneous items stored in the PPE warehouse.
  • Occasionally deliver products to local sites based on urgency.
  • Schedule and maintain daily pickup schedule.
 
  • Stay updated with industry trends and establish long-term purchasing arrangements with vendors when beneficial.
Quality Management
  • Contribute to the success of the organization by participating in quality improvement activities.
Safety and Compliance:
  • Follow all safety procedures as outlined in the organization's Illness and Injury Prevention Plan (IIPP) and report any injuries or unsafe conditions immediately.
  • Use appropriate body mechanics to ensure an injury-free environment.
  • Follow all infection control procedures, including blood-borne pathogen protocols.
  • Maintain privacy of all patients, employees, and volunteer information, accessing such information only on a need-to-know basis.
  • Comply with all regulations regarding corporate integrity and security obligations; report unethical, fraudulent, or unlawful behavior.

Experience:
  • 2 years of prior warehouse experience or similar experience required.
  • Previous experience with procurement software is strongly preferred.
  • Knowledge of medical terminology, procedures, and equipment preferred.
Other:
  • California Class C driver’s license required. Ability to travel regularly to various work sites.
