Job description

PURPOSE OF POSITION: ย 

The purpose of the Inventory Assistant I is to support the accuracy, integrity, and efficiency of inventory operations, ensuring timely and reliable material availability for Field Service technicians and warehouse teams. This position is responsible for executing routine cycle counts and full physical inventories, identifying and resolving variances, and maintaining up-to-date records within the inventory management system.


The Inventory Assistant actively collaborates with warehouse staff, the Filed Service Buyer, and the Inventory Coordinator to align stock levels with operational needs, reduce discrepancies, and ensure timely material availability to support Field Service operations. In addition to core inventory responsibilities such as cycle counts and variance resolution, this role may also assist with general warehouse functions-including receiving, stocking, picking, and shipping materials-especially during peak periods or special projects. By supporting accurate inventory records and contributing to efficient warehouse workflows, the Inventory Assistant plays a key role in preventing shortages, minimizing overstock, improving inventory turnover, and enhancing overall delivery service.ย 

SUPERVISORY RESPONSIBILITIES: ย 

This position does not have direct supervisory responsibilities. ย 

ESSENTIAL FUNCTIONS: ย 

  • Assist in planning and scheduling regular inventory counts, including cycle counts and full physical inventories.
  • Conduct inventory counts with accuracy and efficiency, ensuring minimal disruption to operations.
  • Record, reconcile, and report discrepancies between physical counts and inventory system records.
  • Maintain and update inventory databases and systems to reflect accurate stock levels.
  • Collaborate with team members across departments to investigate variances and implement corrective actions.
  • Support the receiving, storing, organizing, and issuing of materials in compliance with IEM procedures.
  • Generate inventory-related reports and assist with internal or external audits as required.
  • Monitor inventory levels and communicate low stock or overstock conditions to the Inventory Coordinator.
  • Follow all safety procedures and organizational protocols within the warehouse environment.
  • Participate in the Mobile Logistics Unit to support Field Service locations with RMA coordination, warehouse operations, and inventory control.
  • Perform other duties as assigned by management.

  • Adaptability & Initiative: Adjusts effectively to shifting priorities, urgent requests, and special projects, including travel-based support through the Mobile Logistics Unit, while maintaining a proactive and solution-focused mindset.
  • Analytical Thinking & Problem Solving: Proactively identifies issues such as inventory variances or stock misalignments and works with appropriate teams to resolve them through root cause analysis and corrective actions.

EDUCATION AND EXPERIENCE:ย 

  • High school diploma or GED required.
  • Minimum of 1 year of experience in inventory control, preferably within a warehouse or logistics environment.
  • Minimum of 1 year of hands-on experience planning and conducting inventories.
  • Proficiency in Microsoft Excel, Outlook, and PowerPoint.
  • Experience with inventory management systems such as Infor or Oracle preferred.
  • Strong problem-solving skills and attention to detail, particularly in logistics and materials coordination.
  • Exceptional organizational skills, with the ability to prioritize tasks, manage time, and multitask effectively in a fast-paced setting.
  • Demonstrated ability to work independently while contributing to a collaborative team environment.
  • Strong verbal and written communication skills, with the ability to interact effectively across departments and with external vendors.
  • Valid forklift license preferred.

PHYSICAL/MENTAL/ENVIRONMENTAL:ย 

Physical Demands: ย 

  • Activities: Sitting - 70% Walking/Standing - 30% ย 
  • Lifting: Must be able to lift up to 50lbs. ย 
  • Vision: Long periods of close work on a computer screen. ย 
  • Travel: Occasional travel (up to 25%) to IEM regional offices, warehouse locations, or vendor sites.

Mental Demands: Interpret, analyze, research, and manage multiple tasks simultaneously. ย 

Environment: Climate-controlled office space and warehouse environments; exposure to non-climate-controlled areas may occur during inventory activities.ย 

Compensation actually offered for this role will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors.ย A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.ย ย
