Our client, a respected professional association, is seeking an organized and detail-oriented International Programs Specialist to support global education, exchange, and international engagement initiatives. This role is ideal for an administrative professional who thrives in a fast-paced environment, enjoys coordinating complex travel logistics, and has a passion for working with individuals and organizations from around the world.

Key Responsibilities

Administrative & Program Support

  • Provide comprehensive administrative support to the International Programs team.
  • Manage calendars, schedules, meetings, and correspondence.
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and visa documentation.
  • Prepare meeting agendas, reports, presentations, minutes, and briefing materials.
  • Maintain department records, files, and program documentation.
  • Serve as a point of contact for internal and external stakeholders, including international partners and program participants.

International Exchange & Scholar Programs

  • Assist in the administration of educational exchange and visiting scholar programs.
  • Coordinate participant applications, communications, and program logistics.
  • Work closely with host institutions and training sites across the United States.
  • Manage travel arrangements, itineraries, and program schedules while ensuring adherence to approved budgets.
  • Monitor international travel requirements and communicate updates to participants.
  • Support program evaluations, surveys, and outcome assessments.

International Educational Programs & Events

  • Assist with planning and coordinating international educational initiatives and meetings.
  • Draft invitations, confirmations, and follow-up correspondence for faculty, speakers, and international partners.
  • Coordinate travel and logistical arrangements for leadership, guest lecturers, and program faculty.
  • Collaborate with internal teams to promote international programs and maintain program-related content.
  • Support annual conferences and special events, including occasional travel as needed.

Membership & Partner Relations

  • Assist with international membership initiatives and partnerships.
  • Coordinate application materials and documentation with partner organizations.
  • Support customized communications and engagement efforts for international members.

Qualifications

  • Associate degree required; Bachelor's degree preferred.
  • 3-4 years of administrative, program coordination, or executive support experience.
  • Strong experience coordinating travel, scheduling, and logistics.
  • Excellent written and verbal communication skills.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple priorities, meet deadlines, and work independently.
  • Interest in international programs, global engagement, and cross-cultural communication preferred.
