Location: Dallas

The Role 

The Housing Intake Manager oversees the intake process for individuals entering housing programs, including Permanent Supportive Housing (PSH) and voucher-based programs such as the Housing Choice Voucher Program, Gateway and Pipeline 75 This position ensures, that all referrals, eligibility screenings, and documentation requirements are completed accurately and efficiently while maintaining compliance with program guidelines and funder regulations. 

What You’ll Do 

The Housing Intake Manager supervises the intake process, coordinates with case management and housing teams, and ensures timely placement of eligible participants into housing programs. 

Duties and Responsibilities 

  • Intake & Eligibility Management 
    • Oversee all housing intakes, eligibility screenings, and referral processing. 
    • Review and verify required documentation for housing program eligibility. 
    • Ensure compliance with local, state, and federal housing program guidelines. 
    • Coordinate with referral partners and community organizations to receive and process referrals. 
    • Maintain an organized tracking system for applicants, waitlists, and program vacancies. 
  • Data Management & Compliance 
    • Ensure accurate data entry and reporting within the HMIS and internal databases. 
    • Monitor intake documentation to ensure files remain compliant and up to date. 
    • Conduct regular audits of client files and ensure quarterly documentation updates. 
    • Generate reports related to intakes, placements, and program performance. 
  • Team Coordination & Leadership 
    • Supervise intake staff and provide training on intake procedures and program eligibility. 
    • Coordinate closely with housing program manager, case managers, housing navigators, and property partners. 
    • Provide guidance on complex eligibility determinations and documentation issues. 
    • Ensure consistent implementation of intake polcies and procedures across the team. 
  • Housing Engagement & Unit Coordination 
    • Collaborate with housing staff to track available units and ensure timely placement of clients. 
    • Support unit inspections and readiness prior to move-in. 
    • Coordinate move-in processes with property management and case management staff. 
    • Maintain communication with landlords and property partners when necessary. 
  • Program Quality & Improvement 
    • Develop and maintain standardized intake procedures and workflows.
    • Identify barriers in the intake process and implement solutions to improve efficiency. 
    • Ensure all services follow a Housing First and trauma-informed approach. 
    • Participate in program planning and strategic initiatives to improve housing placement outcomes. 

Qualifications 

  • Bachelor’s degree in Social Work, Human Services, Public Administration, or a related field preferred. 
  • 3–5 years of experience working in housing programs, homelessness services, or case management. 
  • Experience with coordinated entry systems and housing referrals preferred. 
  • Strong knowledge of housing program eligibility requirements and documentation standards. 
  • Experience using databases such as HMIS. 
  • Excellent organizational, leadership, and communication skills. 
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
