Description: The Client Intake Assistant serves as the main point of contact for Leads, ensuring a smooth intake experience. This role is responsible for qualifying Leads, gathering information about their matter, running initial conflict checks, and scheduling consultation and discovery calls.

The Client Intake Assistant plays a key role in helping the firm reach Lead conversion goals by actively engaging with and following up with Leads, and assisting with team initiatives. This position will work with the Client Onboarding Team and is under the direct supervision of the Brand Marketing Manager. Duties and Responsibilities: Serve as key point of contact for prospective clients.

Answering scheduling queries via email and phone. Draft and Send Custom Roadmaps Following Discovery and Consult Calls Responsible for post-speaking engagement lead nurturing. Report on Team KPIs Qualifies all Leads to ensure the firm can assist with their matter and gathers necessary information to schedule a consultation or discovery call.

Schedules consultation and discovery calls. Actively updates HubSpot and team's Rolling Reports to ensure accurate data tracking. Maintains HubSpot properties for the firm, including creating, removing and updating properties.

Maintains HubSpot user accounts, including creating, removing and updating firm users. Provides HubSpot training to firm. Education and Experience: Prefer an understanding of foundational AI concepts, such as how to design, implement, and refine basic AI agents.

A minimum of an Associate Degree preferred (Business, Administration, Management, Sales, Communication) Highly proficient in Microsoft Office Suite applications. Extremely organized, detail-oriented, able to multi-task and prioritize their workload. Excellent communication skills, both oral and written.

Customer service experience a preferred. Must be able to work independently and as a team member. Team player attitude.

Prefer one year of experience in a professional administrative role but not necessary. Law firm experience is not necessary.
