Director of Intake

Position Overview

Reporting to the Chief Clinical Officer, the Director of Intake is responsible for managing a team of Intake Specialists who maintain the referral process during a 24-hour, 7 day a week cycle. The Director of Intake is responsible for monitoring incoming referrals and Intake workflow to ensure all processes are followed and all entries are timely and accurate for all St. Croix Hospice locations; monitors status of all referrals; coordinates with Sales, Clinical and Triage to facilitate timely admissions. The Director of Intake will work closely with Clinical and Sales teams and leadership to promote SCH goals and objectives.

Essential Functions and Skills
Responsibilities 

  • Oversees Intake Department to ensure 100% of referrals received are entered timely and accurately.
  • Develops strategic plans by working directly with Clinical and Sales teams to achieve and maintain an 80% or higher conversion rate.
  • Oversees recruitment, staffing, hiring, and retention of Intake team members.
  • Manage performance and development of Intake staff members.
  • Manage staffing plan for coverage from 7:00 am to 9:00 pm M-F; 8am-8pm weekends; and on call over nights and weekends, creates and updates schedules.
  • Build all Intake processes and procedures, and seek consistent improvement in all areas
  • Collaborate with Sales, Clinical, and Billing to provide a positive patient experience upon admission.
  • Accountable for compliance with all CMS and CAHPS standards within the department
  • Responsible for all Intake Department reporting and metrics to the company
  • Accountable for the department budget
  • Forecast Intake staffing needs based on census and company growth
  • Performs other duties and activities as delegated by Chief Clinical Officer.
  • Responsible for maintaining compliance with all HIPAA regulations and requirements. Treats all patient information as confidential and utilizes protected health information on a minimum necessary basis.
  • Performs other duties as assigned.
     

Requirements/Qualifications

  • Bachelor's degree in healthcare administration, social work, nursing, or business administration.
  • Minimum of 5 years of experience in managing a team in a healthcare environment
  • Ability to pass DHS background study.

Knowledge, Skills, and Abilities

  • Experience with medical billing and knowledge of terminology. 
  • Strong computer skills including advanced knowledge of Microsoft Word, Excel, and PowerPoint. 
  • Demonstrated ability to supervise and direct administrative personnel.
  • Ability to market and deal tactfully with customers and the community. 
  • Knowledge of corporate business management, governmental regulations, CHAP standards, and private payer practices.
  • Demonstrates good communication, negotiation, and public relation skills.
  • Demonstrates autonomy, organization, assertiveness, flexibility, and cooperation in performing job responsibilities 
  • Proficient in the English language. Able to read, speak, and write English in a clear and concise manner required.

The annual salary range for this role is $130,000 - $150,000/annually.  An employee’s actual annual salary will be based on but not limited to: geographic location, relevant education, applicable certifications, depth of experience, and special skillsets. The total compensation package for this position may also include the opportunity to participate in employee benefits including our medical/dental/vision/pet insurance, disability and life insurance, paid time off, and 401(k) retirement plans, subject to applicable plan terms, and/or eligibility for other compensation.
