Job description

Job Summary:
The Cemstone/TCC Companies are seeking a detail-oriented, organized, in-office Executive Administrator supporting the Executive Staff including the President and CEO, Chief Operations Officer and Chief Financial Officer. The position will also require performing duties consistent with executive administration with the expectation and ability to work independently while managing multiple tasks efficiently, effectively and professionally. This is an in-office, part-time role, Monday through Friday from 9am-3pm or approximately 27.5hrs a week.
Key Responsibilities Include:
  • Organize meetings, appointments, and events ensuring executives' time is optimized and priorities are met. Proactively manage calendars, email, calls, travel and other correspondence, while anticipating challenges and conflicting priorities and helping to navigate the requests with a calm sense of responsibility
  • Handle emails, phone calls, and correspondence, acting as a gate keeper to filter requests and maintain smooth information flow
  • Arrange travel itineraries, accommodations, and transportation for business trips
  • Screen and respond to calls of key stakeholders as requested
  • Handle sensitive and highly confidential processes for the Executives, maintain an organized filing system and confidential records, ensuring accessibility and compliance
  • Gather, prepare and produce high-quality reports, presentations and other documents or information as
    requested. Create Professional PowerPoint presentations and support the executive level materials such as board materials.
  • Prepare for meetings and conferences (notice, agenda, pre-work, follow-up). Handle space procurement issues and make food service arrangements.
  • Participate in the completion of special projects in cooperation with Senior Leadership
  • Other duties as assigned

Required Skills:
  • Proficient in using software including Excel, Microsoft Office, Microsoft PowerPoint and other related tools
  • Strong attention to detail and organizational skills to manage multiple priorities effectively
  • Self-motivated, confident, detail-oriented and analytical
  • Professional interpersonal and strong communication skills, ability to collaborate effectively with executives, staff and external stakeholders
  • Ability to handle sensitive information with integrity and confidentiality

Experience/Education:
  • Bachelor's degree in business administration, communications or related field preferred
  • 3-5 years in administrative or executive support roles with exposure to corporate environments
  • Family office experience working with company employees, suppliers, and customers. Promote and maintain the professional image and reputation of the company and ensure timely problem resolution and customer satisfaction.

Pay: $27.00-$30.00 per hour
