Reporting to the Manager Import Purchasing, the Import Purchasing Associate plays a critical support role within the Import Purchasing team by managing high-volume administrative, transactional, and coordination activities. This position is designed to streamline daily operations, improve data accuracy, and reduce workload for Buyers and Planners-allowing them to focus on strategic sourcing, vendor management, and inventory optimization.
This role serves as a central hub for communication, system updates, and process execution to ensure operational efficiency and consistency across import purchasing activities.
Essential Responsibilities:
Communication & Inquiry Management
  • Manage Import Buyer email inbox, acting as the first point of contact for internal inquiries
  • Respond to routine questions (e.g., ETA requests, order status updates)
  • Route complex or strategic inquiries to Buyers and Planners as needed
  • Reduce overall email volume and interruptions for Buyers and Planners

Order & System Maintenance
  • Identify and resolve discrepancies in orders, inventory, and system data
  • Support maintenance of reports related to stock status and order tracking
  • Assist with ongoing data validation and cleanup initiatives
  • Update Purchase Order (PO) details including dates and pricing changes
  • Ensure PO quantities align with Host system and transaction sheets
  • Adjust Weighted Average (WA) when Safety Net are entered on work order styles
  • Maintain accuracy of system data across multiple platforms
  • Monitor non-stock styles with no inventory and proactively identify alternate product options
  • Perform SKU cleanup to maintain item accuracy and usability in systems
  • Manage overstock maintenance to ensure proper inventory classification
  • Update style stock status (Stock vs. Non-Stock) based on reporting and business rules

Logistics & Air Freight Coordination
  • Manage air freight process, including:
    • Creating and preparing required forms
    • Coordinating weekly setup (e.g., Monday scheduling)
    • Requesting and tracking freight quotes from Logistics
    • Maintaining air freight tracking logs

Vendor & Compliance Support
  • Support vendor scorecard distribution on a bi-annual basis
  • Assist with ASN (Advanced Shipping Notice) and Redbook error resolution
  • Ensure data integrity and vendor compliance through accurate system updates

Process Documentation & Continuous Improvement
  • Create and update work instructions and process documentation
  • Support standardization of workflows to ensure consistency and efficiency
  • Identify opportunities to improve processes and reduce manual effort

Requirements
  • Bachelor's degree in Supply Chain, Business, or related field (or equivalent experience)
  • 2+ years of experience in purchasing, supply chain, or operations support preferred
  • Proficiency in ERP systems and Microsoft Excel
  • Strong attention to detail and data accuracy
  • Excellent organizational and time management skills
  • Ability to manage multiple tasks in a fast-paced environment
  • Strong communication and problem-solving skills
