Job Description

All Care Therapies is seeking a highly organized and execution-focused Project Manager to lead the implementation and operational launch of new Texas school district therapy contracts. All Care Therapies will provide speech therapy, occupational therapy, and potentially physical therapy services to multiple school districts beginning with the August 2026 school year.

The primary objective of this role is to ensure the organization is fully prepared to successfully launch and support school-based therapy services across Texas. The Project Manager will establish structure, visibility, accountability, and coordination across multiple departments while ensuring district requirements are met, timelines remain on track, and operational readiness is achieved prior to service delivery.

This individual will serve as the central point of coordination between Clinical Operations, Customer Service, Recruiting, Human Resources, Credentialing, Information Technology, Finance, and District Operations. The ideal candidate is highly detail-oriented, thrives in a fast-paced environment, and has a proven ability to manage complex cross-functional initiatives from planning through execution.

Essential Duties and Responsibilities

  • Manage the overall implementation and launch of Texas school district therapy contracts, ensuring all project milestones and deadlines are achieved.
  • Develop, maintain, and monitor comprehensive project plans, implementation trackers, timelines, status reports, and readiness dashboards.
  • Facilitate regular implementation meetings, document action items, track progress, and hold stakeholders accountable for deliverables.
  • Identify risks, dependencies, and operational barriers that may impact launch readiness and proactively escalate issues to leadership.
  • Coordinate onboarding activities for each school district and ensure district-specific requirements are documented, organized, and communicated to internal teams.
  • Maintain detailed records related to district contacts, service delivery expectations, campus locations, student caseloads, evaluation requirements, service models, billing requirements, documentation systems, and district clearance processes.
  • Partner with Clinical Operations leadership to support therapist readiness, documentation standards, escalation protocols, and school-based service implementation requirements.
  • Collaborate with Customer Service and Operations teams to establish workflows, call-routing procedures, intake processes, scheduling support, and escalation pathways for school district services.
  • Work closely with Recruiting and Clinical leadership to assess therapist capacity, identify staffing gaps, monitor hiring progress, and ensure adequate coverage across all assigned districts.
  • Coordinate with Human Resources and Credentialing teams to monitor therapist onboarding, Texas licensure verification, background checks, fingerprinting requirements, district clearances, and compliance readiness.
  • Partner with Information Technology to ensure therapists and operational teams have the necessary software, system access, security credentials, teletherapy platforms, and district-required technology prior to launch.
  • Work with Finance to establish billing processes, invoice requirements, payment terms, purchase order tracking, documentation requirements, and operational support for successful revenue cycle management.
  • Maintain implementation reporting across all workstreams, including staffing, credentialing, technology readiness, clinical operations, customer service, finance, and district requirements.
  • Provide weekly updates to leadership regarding completed milestones, outstanding action items, implementation risks, delayed deliverables, and key decisions requiring executive support.
  • Develop and maintain readiness reporting utilizing clear status indicators to communicate implementation progress and launch readiness.
  • Create and execute go-live readiness plans for each school district, ensuring therapists are credentialed, trained, scheduled, and operationally prepared before services begin.
  • Support post-launch operations during the initial implementation period, identify opportunities for improvement, and assist in developing scalable processes and best practices for future school district partnerships.
Qualifications
  • Prior experience integrating therapy programs with school districts, special education programs, pediatric healthcare, or therapy service organizations.

  • Texas school district implementation experience is required.

  • Bachelor's degree in Business Administration, Management, Healthcare Administration, Education, or a related field preferred.

  • Minimum of three years of experience in project management, implementation, operations, healthcare, education or service delivery environments.

  • Demonstrated ability to successfully manage multiple projects, priorities, stakeholders, and deadlines simultaneously.

  • Strong organizational, planning, project coordination, and follow-through skills.

  • Excellent written, verbal, and interpersonal communication abilities.

  • Ability to build relationships and effectively collaborate across departments and organizational levels.

  • Strong problem-solving skills with the ability to identify risks and implement practical solutions.

  • Ability to drive accountability and maintain project momentum in a fast-paced environment.

  • Experience creating project plans, timelines, implementation trackers, status reports, and executive-level updates.

  • Proficiency with Google Workspace, Microsoft Office, Excel, Smartsheet, Monday.com, Asana, Airtable, Jira, or similar project management platforms.

  • Experience working with school districts, special education programs, pediatric healthcare, or therapy service organizations.

  • Knowledge of speech therapy, occupational therapy, and physical therapy operations.

  • Familiarity with IEPs, ARD meetings, school-based service delivery models, and special education workflows.

  • Experience supporting credentialing, compliance, background screening, and provider onboarding processes.

  • Experience managing multi-site or multi-location operational implementations.

  • Experience collaborating with clinical, recruiting, human resources, finance, operations, and information technology teams.

  • Texas school district implementation  experience is required.
