Project Coordinator

Location: Houston, TX (On-site/Hybrid based on project needs)

Job Type: Contract (6โ€“12 Months)


Job Summary

We are seeking a highly organized Project Coordinator to support a major capital projects team within the energy infrastructure industry. This contract position will play a key role in coordinating project activities, maintaining project documentation, supporting executive reporting, and ensuring effective communication across multidisciplinary teams.

The ideal candidate has experience supporting engineering, construction, or capital projects and thrives in a fast-paced environment with multiple priorities. Experience in the energy, midstream, oil & gas, or infrastructure industries is highly preferred.


Key Responsibilities

Project Coordination & Administrative Support

  • Coordinate project meetings, workshops, site visits, and other project-related activities.
  • Schedule meetings, distribute agendas, and manage meeting logistics.
  • Capture detailed meeting minutes and track action items through completion.
  • Maintain project schedules, milestone tracking, and coordination across multiple teams.
  • Provide day-to-day administrative support to the project leadership team.

Document Control & SharePoint Administration

  • Maintain and organize project documentation within SharePoint.
  • Ensure documents are properly version controlled, classified, and archived.
  • Manage document libraries and maintain standardized folder structures.
  • Maintain project logs including action items, decision registers, and lessons learned.

Reporting & Executive Presentations

  • Compile project data to prepare weekly and monthly status reports.
  • Develop executive-level PowerPoint presentations for leadership meetings.
  • Create and maintain standardized reporting templates and dashboards.
  • Coordinate updates from project teams including engineering, procurement, construction, land, and other functional groups.

Cross-Functional Collaboration

  • Serve as a central point of coordination between project managers, engineers, procurement, construction, and other stakeholders.
  • Facilitate communication and ensure timely distribution of project information.
  • Support project management activities to help maintain schedule, organization, and overall project execution.


Additional Responsibilities

  • Assist with special projects and administrative tasks as assigned.
  • Support continuous improvement of project coordination and document management processes.


Qualifications

  • Bachelor's degree preferred; equivalent project coordination experience will be considered.
  • 3+ years of project coordination, project administration, or project controls experience.
  • Experience supporting engineering, EPC, construction, or capital projects preferred.
  • Experience within the energy, midstream, oil & gas, utilities, or industrial sectors strongly preferred.
  • Advanced Microsoft Office skills, particularly PowerPoint, Excel, Outlook, and Word.
  • Experience with Microsoft SharePoint and document management systems.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.


Preferred Qualifications

  • Experience supporting large capital or infrastructure projects.
  • Knowledge of project documentation and document control best practices.
  • Experience preparing executive-level reports, dashboards, and presentations.
